Administrative Office Assistant Job at Center for Adoption Support and Education
We are seeking a full-time front desk Administrative Office Assistant to join our team. Our ideal candidate will be dependable, motivated, personable, and organized. They will have the ability to prioritize tasks and communicate effectively and professionally with clients, vendors, and other members of the team. The front desk administrative assistant will be expected to help ensure that the office is running smoothly, staff are supported, and that clients and visitors are treated with the best-in-class customer service.
This position is located in Burtonsville, MD, C.A.S.E.’s headquarters. The candidate will have the option of working remotely on Fridays.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
General Administrative Assistance:
- Responds to incoming calls in a friendly and professional manner; transfers to appropriate party, voicemail, takes written messages, answers questions, gives directions.
- Meets and greets all visitors and clients.
- Provides administrative assistance to the CEO and members of the management team as needed.
- Accepts and completes payment transactions as needed.
- Secures and exchanges information within C.A.S.E. and among staff through verbal, paper and email methods.
- Routinely creates, generates, proofs and edits various correspondence, labels, flyers, charts and spreadsheets, etc. using Word, Excel, to support a wide array of activities and users.
- Assist with preparations for meetings and events.
Publications Fulfillment:
- Responsible for orders fulfillment of C.A.S.E. publications in a timely manner; organizes and tracks publication sales and reports on same. Works closely with the Finance office to process publication and workshop payments. Maintains adequate inventories conducts off site inventory control and works closely with Comptroller to maintain accurate inventory counts.
General Office Support:
Ensures the day-to-day operation of office facility and equipment. This includes, but is not limited to:
- Responsible for keeping general work areas safe, neat and orderly (employee lunch room, general storage and supply rooms, office equipment room).
- Maintains general office supplies and serves as point of contact for ordering staff work-related supplies.
- May collaborate with evening Office Assistant as needed on work assignments.
Technical Office Support:
- Proactively establishes and maintains effective working relationship with office equipment vendors. Troubleshoots problems with proper external parties to ensure timely resolution and maximize up-time. Serves as POC to employees on how to use such equipment. Ensures copy, fax, postage and credit card machines are properly serviced and maintained. Other specific tasks include: monitoring monthly meter count for copier; maintaining postage machine updates and supplies; monitoring faxes while making sure all confidential information is received by correct party.
OTHER DUTIES AND RESPONSIBILITIES:
- Attends and constructively contributes to a variety of internal and external meetings such as staff meetings, committee meetings, etc. May take and disseminate meeting minutes.
- May occasionally require flexible hours and/or schedule in order to attend and/or actively support annual gala, golf tournament, family conference, etc.
- Develops, interprets, and administers standard operating procedures and practices within scope of authority, and communicates to relevant internal and external parties, as needed.
- Keeps Office Admin share drive and hardcopy SOP manual up to date.
- Performs other related duties as may be required.
