Lees-McRae College, in Banner Elk, NC invites applications for the position of Administrative Assistant to the Provost within the Office of the Provost. This is a 12-month position that is responsible for assisting the Provost and the Office of Academic Affairs personnel.

Essential Functions
Office Management and Administrative Support

  • Perform clerical assistance for the Office of Academic Affairs and the Provost.
  • Schedule meetings and appointments.
  • Requisition payment of all bills for the Academic Affairs Office and related departments.
  • Process requests for keys, phones, materials and supplies, vehicles, classroom needs, and office equipment for faculty.
  • Support H.R. in securing appropriate paperwork and forms for new faculty.
  • Process mailings for the Office of Academic Affairs.
  • Collect and distribute mail.
  • Write and distribute minutes from the Division Chair, Dean’s Council, and other academic meetings.
  • Maintain faculty files (hard copies).
  • Maintain faculty credential information, course evaluations, and syllabi in Xitrax.
  • Maintain faculty job search files and correspondence and assist with the search process as directed.
  • Fulfill appropriate liaison responsibilities between faculty, students, and the provost.
  • Assist with Extended Campus matters as directed by the Provost and Dean of Online and Distance Learning.
  • Assist with Assessment of the Academic Affairs Unit as directed by the Vice President for Strategic Planning and Effectiveness.
  • Supervision of work study students assigned to Academic Affairs.
  • Assist students with academic-related matters.
  • Assist with orientation programs for faculty and students.
  • Provide clerical assistance for New Opportunity School for Women.
  • Co-produce the programs for Opening Convocation, Honors and Awards, and Commencement.
  • Performs other duties as assigned by the provost.

Records and Registration

  • Provide administrative support to the Registrar’s including, but not limited to the following:
    • Summer Advising and Registration program, processing transcripts, full-time verifications, transcript data entry, new file development, pre-registrations, course schedule entry, drop/add, grade changes, entering transfer work, grade rosters, grade entry, end of the semester functions, maintaining student files, and running reports.

Academic Events

  • Assist the Associate Provost with Commencement, Honors & Awards, and Opening Convocation.
  • Serve on the Academic Events Committee.

Supervisory Responsibility
This position has no supervisory responsibilities currently.

Work Environment
Normal office environment where there is no physical discomfort due to temperature, dust, noise, and the like.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee is occasionally required to sit, climb, balance, stoop, kneel, crouch, or crawl. The employee must frequently lift or move up to 10 pounds and occasionally lift or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m.

Occasional evening and weekend work may be required as job duties demand.

Travel
No travel is expected for this position.

Required Education and Experience

  • Associate degree (AA or AS)
  • Ability to maintain accurate records and reports.
  • Ability to use various computer software to include Colleague, Brightspace, Microsoft Office Suite, Google suite, etc.
  • Excellent communication, management, organizational, networking, and public relations skills
  • Ability to maintain confidentiality.

Preferred Education and Experience

  • Associate degree from an accredited institution
