Experience: 1 or more years in customer service and office administration

Hours 8:00 am - 5:00 pm Monday thru Friday

occasional Saturday 8:00 am - 12:00 pm

  • Must be able to assist with on call (after hours, and holidays) appointment scheduling

Skill Level:

  • This is a hands-on role for a dynamic individual who likes to wear many hats
  • This is a key role in the success of our Residential HVAC/Home Performance Sales Team
  • This position will also support leadership and coworkers while maintaining the mission, vision, and beliefs of GSM Services
  • Assist with job set up process (Sales Support)
  • Issue purchase orders for equipment and contractors
  • Issue permits
  • Maintain Production Calendar with Volume and Gross Margin Dollars
  • Submit Duke Energy Rebates
  • Assist with on call (after hours, and holiday) leads coordination
  • Communication with entire sales and production teams
  • Other general administrative duties as needed
  • Work closely with Production Coordinator with scheduling
  • Schedule Plan of Attack Meetings (POA's)
  • Aid with putting job information together with Comfort Advisors, this could include material lists, securing materials and/or equipment, confirming all required paperwork is complete for jobs
  • Order equipment; extended warranties
  • Handle billing as required, and secure job permits
  • Follow up on pending quotes as needed

Requirements:

  • Excellent interpersonal verbal communications skills with internal teams and customers
  • Must be able to assist with on call (after hours, and holidays) appointment scheduling
  • Good computer skills
  • Knowledge of common office applications such as Microsoft Word and Excel
  • Experience with one or more dispatch systems
  • Demonstrated ability to multi-task in an intense, dynamic environment
  • Good interpersonal skills
  • Possess the ability to read and write English to a High School level
