Administrative Assistant - Our Lady of Lourdes Catholic Church Job at Diocese of Palm Beach
Our Lady of Lourdes Catholic Church located in Boca Raton, FL is searching for a full time Administrative Assistant (37.5 hours per week, Monday-Friday, 8:00am to 4:00pm).

The Parish’s Administrative assistant is the “face” of the Parish and the staff member that interacts with the general public and parishioners who come to the Parish office or call the office for information and assistance.
Essential Duties and Responsibilities:
- To answer calls, provide Church related information to parishioners and visitors, and to transfer and direct calls to appropriate staff member.
- To check and answer the Parish email often and forward work-related emails to respective staff members.
- To provide information about the sacrament of Baptism, and to facilitate all paperwork and planning related to the celebration of this sacrament including related mailing, collection of fees, and recording of Baptisms in Sacramental books.
- To provide information about the celebration of the sacrament of Holy Matrimony, and to facilitate all paperwork and planning related to the celebration of this sacrament including related mailing, collection of fees, and recording of Marriage in Sacramental books.
- To provide information about the celebration of Funerals and to facilitate all paperwork and planning related to Funeral services, including collection of fees, related mailing and recording in Sacramental books.
- To answer questions and collect/distribute paperwork requested by parishioners like certificates of sacraments received, permission slips, letters of recommendation, etc.
- To take Mass intentions and collect fees for Mass intentions while keeping the Mass Intention book updated, and the collection and tracking of offerings for Votive candles, Altar flower and other donations.
- To assist in posting parishioners’ contribution to PDS if needed.
- To assist new parishioners with registering and processing the registration. (Input into computer, send welcome letter, etc), and to keep PDS up to date.
- To prepare prayers of the Faithful and announcements for the Sunday liturgy and special masses, and to facilitate the planning of special Novena of masses providing the needed envelops and tracking the contributions.
- To track the need of Office supplies, make request to Bookkeeping and if needed doing the purchasing.
- To keep and monitor the office petty cash.
- To occasionally sell Event tickets from the office during the week.
- To assist DRE with students’ registration and collecting of fees if needed.
Qualifications:
- The person applying to this position should be a Roman Catholic, that is in good standing and participates in the sacramental life of the Church and adheres to Church teachings.
- Clerical and management experience in Church office setting is preferred.
- Excellent and professional telephone manner, interpersonal and organizational skills.
- Ability to multi-task, work independently and make responsible judgment calls.
- Ability to speak and write in English and in Spanish fluently
- Ability to work effectively with other employees, representatives of other agencies and the public.
- Ability to communicate well with the Pastor, Parish clergy, staff, and volunteers.
- Ability to respect confidentiality and consistently exercise discretion and good business judgment.
- Proficiency in PDS & MS Office Suite, including Word, Excel, Outlook, Publisher and Internet.
- Ability to work effectively with Diocesan employees, departments heads, representatives of other agencies and the general public.
- Excellent written, verbal and public speaking skills.
- Excellent analytical skills and problem-solving capacity.
- Ability to stay focused and organized.

Physical Requirements:
- Time spent working closely with others.
- Frequent extended periods of sitting.
- Frequent use of both hands, fingers (i.e. typing).
- Occasional periods of walking, standing, kneeling, and climbing.
- Ability of minimal hearing (i.e. loud noises, sirens) and routine hearing (i.e. listening to others in conversations).
- Light lifting and carrying of under 15 pounds.
- Occasional moderate carrying and lifting of 15 - 44 pounds.
