Administrative Assistant Job at Mount Washington Observatory
General Responsibilities
The Administrative Assistant provides comprehensive organizational support to MWOBS. This individual handles a number of administrative tasks, special projects and support functions. While they may work closely with the Executive Director and other members of MWOBS’s senior management team, the Administrative Assistant reports directly to the Director of Finance and Administration.Daily responsibilities include all activities related to general office administration. Remote and flexible time is encouraged for this position as responsibilities allow. Opportunities for professional development exist with this position as well.
Tasks and responsibilities:
Administration
· Reception – greets and directs visitors, accepts and distributes deliveries
· Telephone – answers incoming phone calls, responds to general voicemail messages
· Mail – picks up, sorts and distributes incoming mail; processes outgoing mail
· Office supplies and equipment – ensures the administrative office is adequately stocked with supplies and that office equipment such as the postage meter and copier are maintained
· Special Projects – assists with occasional projects from members of the senior management team
Development and Board Support
· Supports MWOBS development staff, including but not limited to, assistance with printed/emailed member and sponsor correspondence
· Data entry – assists with membership and fundraising data entry
· Board Support – assists the Executive Director with maintaining Trustee manuals and provides logistical support for Board of Trustees meetings and committee meetings
· Events – supports MWOBS fundraising events and campaigns
Volunteer Programs
· Works with valley volunteer coordinators to attract and retain a vibrant volunteer program, while also identifying areas of need in the organization where volunteers can contribute
· Manages the summit volunteer/museum docent program, scheduling MWOBS volunteers for week-long service at the Mount Washington summit weather station
· Works with the Retail Manager and Director of Weather Operations with the selection and training of summit volunteers for assistance in Extreme Mount Washington Museum and Gift Shop from mid-May to mid-October
Retail and Financial Support
· Deposits – review and submit deposits from MWOBS retail operations
· Record keeping – compiling, duplicating, collating and filing as needed
Other
· H/R – submit background checks, prepare intern offer letters and documentation
· Other tasks as assigned
· Like all MWOBS employees, the Administrative Assistant is an ambassador for this unique nonprofit and carries the responsibility of always being a good representative in the community
Education and Experience
The Administrative Assistant shall possess a minimum five years of office administration experience. Experience in a nonprofit environment preferred.
Knowledge, Skills, and Abilities
- Excellent written and verbal communications skills
- Proficiency with typical office computer software such as MS Office Suite, including Word, Excel, PowerPoint, and Outlook
- Strong knowledge base of typical office computer software such as Microsoft Office programs
- Excellent communication skills, bright disposition and positive attitude
- Excellent organizational skills
- Ability to efficiently manage multiple tasks and prioritize
- Attention to detail and accuracy of data entry
- Works cooperatively and effectively with other staff members and volunteers
- Experience with database software a plus
- Knowledge of and or interest in Mount Washington and the outdoors is desired
- Knowledge of MWOBS programs to ensure effective communication with callers and visitors
Work Environment
This position is based at the MWOBS’ office in North Conway, NH with the opportunity to work remotely on occasion. Some limited travel will be required at times, including to the summit of Mount Washington and for development events, visits to major donors, and other cultivation activities.
