LENAX is looking for an Administrative Assistant to support an aviation sector construction program's Finance Team. The position s scope of responsibilities will include, but are not limited to, assisting with consultant timekeeping services; preparing and routing budgetary memos and requests; updating charge code lists, contract budget authorizations and monthly expenditure data; updating and maintaining electronic files located in shared environments; and providing other administrative support to the group, as needed.
Essential Job Duties - The Administrative Assistant s duties include, but are not limited to the following:
- In accordance with established procedures, perform a variety of routine and non-routine administrative, clerical, and data collection tasks for supervisor.
- Perform various administrative, clerical, data collection, data entry, and report writing tasks.
- Receive direction from immediate supervisor in completing non-routine assignments.
- Gather statistics and general data; review and combine this information into established reports for use internally.
- Scan documents and reports as required.
- May develop new reports or revise existing reports, as directed. Such reports may be in spreadsheet or graphical formats, or narrative-style word processing.
- May be responsible for verifying data gathered, such as matching supplier invoices against file copies.
- Distribute reports as directed by immediate supervisor,
- Originate correspondence and reports not requiring the personal attention of immediate supervisor.
- Prepare general correspondence and maintains general files.
- Answer telephone, take and relay messages, screen callers and direct calls accordingly.
- Receive, sort, and distribute mail.
- Maintain an organized workspace by keeping documents and supplies properly stored.
- Contribute to the advancement of the program group's goals through commitment to productive collaboration with all stakeholders.
- Perform other responsibilities associated with this position as may be appropriate.
Job Qualifications - To effectively perform the essential functions of the job, candidates must meet the following position specifications
Education / Relevant Years Experience
- A High school diploma (or equivalent), and three-to-five (3 – 5) years of relevant work experience, required.
Professional Experience Level & Other Qualifications
- Good written and oral communication, organizational, and interpersonal skills are required.
- A working knowledge of public sector policies and procedures is preferred.
- Self-starter, multi-tasker.
- Ability to bring assignments to completion independently.
- Ability to work in a high volume, dynamic team environment.
- Proven record of accomplishments of office administration.
- Flexible attitude to changing conditions.
- Accountable and dependable to follow through with tasks/projects.
- Prior work experience working in a construction project office and/or supporting public agency s construction programs would be highly beneficial.
Hardware/Software/Systems & Related
- Proficiency in Microsoft Office Suite of software is required.
- Demonstrated proficiency in keyboarding skills and the utilization of MS Windows and related word processing, spreadsheet, and database software, is required.
- Prolog or similar experience is required.
Other
- May assume other duties as required/needed.
- May be required to work past regular work shift.
- May be required to work various shifts as needed.
This position will be a full-time, regular, non-exempt status, with a pay range of $21.00/hr. - $27.00/hr., depending upon candidate qualifications for the position.

Note: All candidates must meet the client s COVID-19 Safety policies, including being fully-vaccinated against COVID-19; or, being approved for an authorized exemption, and performing weekly testing.
This is not a fully-remote position. If the position can be performed remotely, the individual may be approved for a hybrid schedule—working onsite Tuesday, Wednesday and Thursday; and then Teleworking on Mondays and/or Fridays.
