Administrative Assistant for Facilities/ Safety
Full-time, M-F 7:30 am -4:00 pm or 7:00 am - 3:30 pm
Requisitioning and expediting purchase orders electronically for maintenance, repair and operation supplies.-
Maintain efficient operation of the Brook Lane WorxHub software program for work order and preventative maintenance.
- Coordinates staff training requirements and schedules as needed.
- Type correspondence, minutes, reports, policies and other documents as required.
- Responsible for EVS scheduling, EVS supply orders, and EVS timekeeping in ADP.
- Provides secretarial services for the Housekeeping Supervisor as necessary.
- Maintains correspondence and material files on the following: on-call schedule, telephone system, pager system, water/sewage department, hazardous waste, medical equipment, generators, refrigerator temperature logs, fire safety information and other files as appropriate.
- Maintains policies and procedures manual for the Maintenance and Housekeeping departments and is able to direct staff to appropriate sections therein.
- Maintains the department’s records that are required for Joint Commission inspections.
- Provides the following to the Facilities Director for monthly Safety Committee: Work order load analysis reported monthly, Joint Commission tracking/reporting reported monthly, and High and Low risk medical equipment inventory and inspections reported yearly.
- Maintains medical equipment inventory listing. Schedules annual testing and service. Prepares yearly Medical Equipment Report for Safety Committee.
- Coverage for the Administration Building switchboard one a day as needed.
- Assists with arranging and setting-up ZOOM meetings.
QUALIFICATIONS/ REQUIREMENTS:
- Training in general office work, including intermediate computer skills and three years advanced secretarial services beyond the high school level is required. Secretarial experience in a field relating to Facilities is preferred.
- Must be proficient in Microsoft Office 365.
- Be able to read, write, and speak the English language fluently.
- Able to demonstrate good phone etiquette.
- Type accurately at a responsible rate of speed and edit to ensure spelling.
- Must be able to use basic office equipment and the computer.
- Able to establish priorities, deal with considerable work detail, and function at a high level of independence.
Maintain a quiet and resourceful work atmosphere, as well as effective relationships with staff, such to be conducive to effective working conditions in which high standards can be maintained.
