Reports to: Operations Manager

Hours: Full-time 40 hours, Monday – Friday 10-6:30, with occasional weekend and evening hours

Rate: $19.00 - $21.00/ hour (+$2.30/hour COVID Hazard Pay - must be on site to receive - temporary benefit until June 2023)

Job Overview

ECHO is now looking for a Volunteer Outreach Coordinator for the Paso Robles location. This position fills an important role in managing a large volunteer pool for many positions throughout the shelter. This position is also responsible for the recruitment and retention of volunteers through outreach activities.

Essential Duties & Responsibilities

  • Implement a volunteer program that specifically engages high-value volunteers, particularly specialized/skilled volunteers, including the preparation of position descriptions, assessments and training programs to continually enhance ECHO’s capacity to deliver effective and appropriate services.
  • Oversee the coordination of approximately 1,500 volunteers annually.
  • Enhance recruitment of community members as volunteers utilizing social media and community education opportunities to strengthen the community partnership. Conduct outreach activities necessary to maintain a volunteer base including recruitment events, speaking at religious and civic organization meetings; placing ads for volunteers on social media channels and volunteer websites and coordinating with local schools and community service programs.
  • Develop business partnerships that provide material and volunteer support for ECHO.
  • Regularly assess organizational needs for volunteer services and develop a system to train, support, motivate and reward volunteers within the ECHO organization and in the community.
  • Screen applications to best match applicant’s abilities and interests to volunteer opportunities; solicit applications to suit particular tasks, as needed.
  • Conduct general introduction/orientations for new volunteers.
  • Initiate volunteer meetings for support, in-service training, problem solving, and motivation amongst volunteers.
  • During the dinner service, from 4-6pm, serve side-by-side with volunteers during their shifts to provide guidance, to better understand the clients’ needs, and to improve the value of services provided.
  • Identify and assess volunteer needs to achieve retention.
  • Build sustainable relationships and trust with volunteers through open and interactive communication.
  • Handle volunteer complaints, provide appropriate solutions and alternatives; follow up to ensure resolution.
  • Keep records of volunteer interactions, manage volunteer accounts, track hours, and compile impact reports.
  • Follow communication procedures, guidelines and policies.
  • Take the extra mile to engage volunteers and make them feel a part of the ECHO Team.

Other Duties and Responsibilities

  • Develop business partnerships that provide material and volunteer support for ECHO.
  • Document volunteer hours and services.
  • Act as admin for ECHO’s volunteer management system, VolunteerHub. Compile the monthly volunteer calendars and assist volunteers in using the program.
  • Write a monthly report for the board of directors on the volunteer activities. Write social media posts, newsletter articles and bulletin notices.
  • Assist with general reception duties such as greeting visitors, answering the phones, etc.
  • Is a member of the Events Committee and coordinates volunteer needs for annual events
  • Other Duties and Responsibilities as assigned by the Operations Manager.

Knowledge, Skills, Talents & Abilities

The Volunteer Outreach Coordinator is a full-time position and requires working in the community, networking and developing resources that support for the mission of the organization to develop the utilization of volunteers. This position also requires excellent social and business skills from someone who can professionally represent ECHO on many fronts – donors, grantors, media, potential volunteers, other non-profits, and the public. The candidate must have:

  • Excellent communication (oral and written) skills.
  • Proficiency with Microsoft Office programs (Word, Excel, Publisher).
  • Ability to work independently and in a team environment, while managing multiple tasks.
  • Excellent presentation skills.
  • Willingness to adjust to changing priorities.
  • Good interpersonal skills.
  • Ability and willingness to work with all kinds of people including ECHO clients and guests.

Education and/or Experience

  • College degree or high school diploma/GED, depending on equivalence in job experience and education.
  • Experience working with non-profits in program, fundraising and development, and/or volunteer relations.

Certificates, Licenses, Registrations

  • Must possess a valid California Driver’s License.
  • Must have a reliable vehicle, clean driving record, and proof of insurance.
  • Must be willing to travel throughout San Luis Obispo County.
