Overview:
This position provides prompt and courteous service to all visitors, patients and vendors. The employee identifies and produces visitor passes per Hospital Procedures. This position also provides coverage and assistance to the Patient Flow Coordinator when needed.
Responsibilities:Essential Functions:
- Assists all patients, family members, physicians, visitors, vendors and employees in a friendly, courteous and professional manner.
- Supports the hospital’s mission, vision and values by presenting a positive and polite manner and offering assistance to all customers.
- Ensures that all visitors/contractors are identified using the visitor identification tracking system.
- Assist with the coordination of patient flow as it relates to the lobby and admitting area.
- Assist with the coordination of patient/visitor /vendor flow to appropriate departments or units.
- Ensures the safety of all visitors entering the hospital area.
- Transports patients in wheel chairs to the appropriate room or unit when needed.
- Enter orders for industrial accounts.
- Assist Admitting with duties as assigned by the supervisor or Patient Access Manager.
- Support for departments within the facility with clerical duties as assigned.
- Understands there is Zero Tolerance as relates to cell phone usage during business hours.
- Utilizes PatientTrak software for patient tracking and monitoring of times as needed to provide assistance for the Patient Flow Coordinator.
- Ensures that proper patient signatures for consent forms are obtained when required for unscheduled OB admissions when assistance is required.
- Works in patient hospital software system as appropriate to perform job duties.
- Monitors visitors with children to ensure and enforce visitation policies and visitation hours.
- Ensures that any child that are allowed to visit a patient is properly Identified utilizing the visitor identification tracking system.
- Maintains on a daily basis any meetings that are to take place in the facility along with the responsibility of obtaining and preparing Visitor or Contractor passes prior to arrival if information is available. Ensures smooth and timely processing of scheduled event participants.
- Understands and monitors all correctional officers that enter the facility to guard inmates that are patients in our facilities.
- Ensures that all correctional officers receive orientation paper during check-in for duty guarding in-patients.
- Must be aware of surroundings of incoming patients and visitors and able to respond and assist in any emergency situation that may arise.
- Obtains patient demographic information and enters it into the patient hospital software system when required.
- Responds to patients and hospital departments regarding inquiries.
- Maintains accurate productivity records in accordance with the department’s policies and procedures.
- Adheres to and responds to all emergency codes as indicated by department requirements.
- Review and respond to emails in a timely manner.
- Ensures patient account information is entered accurately in the patient billing software.
- Ensures that all admission documentation is complete per JCAHO requirements (e.g. patient directory, Advance Directive, private room, valuables and opting out of census as needed when assisting Patient Flow Coordinator.
- Answers telephones and directs calls to appropriate staff as required.
- Applies the hospital’s principles of safety in all work practices. Reports any identified safety risks or incidents per the hospital’s policies and procedures.
- Maintains current knowledge of requirements and regulations of specific insurance carriers and corresponding insurance forms, as well as state collection laws and HIPAA as it applies to admitting and registration.
- Seeks opportunities to participate in work teams and departmental special projects.
- Maintains a neat, orderly and safe work area.
- Follows all infection control and employee health policies and procedures at all times.
- Maintains patient confidentiality at the highest standard at all times according to the hospital’s established policies and procedures.
- Emergency duty may be required of the incumbent that includes working in special needs or Red Cross shelters or to perform other emergency duties including, but not limited to, responses to threats or disasters, man-made or natural.
Education:
- High School Diploma or GED required.
Experience:
- One (1) to two (2) years of prior customer service related work experience preferred.
