Columbia River Veterinary Specialists is seeking an experienced Client Services Representative to join our team!
The Client Services Representative provides excellent customer service and support for our clients by answering telephones, greeting clients, gathering client and patient information, keeping clients updated by telephone, accurately processing payments and conducting efficient client checkout. The Client Services Representative also acts a liaison between the client, DVM, referring veterinarians (rDVM) and hospital staff.
Essential functions and responsibilities include the following. Other duties may be assigned
- Treats all animals kindly
- Acts as a liaison between the client and the veterinarian
- Maintains a warm and professional appearance and demeanor
- Greets all incoming clients immediately. Determines client and patient needs and promptly administers or obtains appropriate assistance.
- Answers incoming telephone calls in an efficient manner; assists callers via phone triage.
- Ensures that clients fill out initial paperwork completely; answers any preliminary client question regarding care or finances
- Accurately and efficiently enters client information into veterinary software.
- Schedules appointments for Surgeon, Internal Medicine Specialist, Neurologist, Criticalist, Oncologist and Ophthalmologist.
- Performs financial transactions including initial deposit and additional deposits as requested by the veterinary team. Provides seamless financial checkout when patient is discharged.
- Is familiar with the acceptable types of payments and is able to offer clients guidance when seeking financial options for care.
- Has a working knowledge of CareCredit and the terms that Columbia River Veterinary Specialists (CRVS) offers.
- Cash handling skills: is able to make change and maintain a balanced cash drawer.
- Responsible for keeping the reception area, client waiting room, exam rooms and client restroom clean and stocked at all times.
- Shares holiday coverage and on call schedule
- Attends CE classes as requested by supervisor
- Regularly attends staff meetings and one-on-one meetings with supervisor
- Reports any concerns, problems or staffing issues to supervisor
