Vendor Services Coordinator Job at Zachry Group
Zachry Group is currently seeking a Vendor Services Coordinator for new construction work at our Golden Pass LNG project located in Sabine Pass, Texas.
Position Summary:
The Vendor Services Coordinator has responsibility for coordination of all aspects of the call-out, planning and administration processes to support effective execution of any, and all, work requiring vendor resources at site in support of Construction, Commissioning, Completions, Start-Up & Warranty.
Liaise with Construction/Commissioning superintendents / planners / managers to compile comprehensive 30/60/90 day lookaheads ensuring work-fronts are open, vendor resources are aware of site requirements & expectations.
Position Responsibilities:
- Coordination with CCZJV stakeholders to ensure effective planning of Vendor call-outs. Be budget conscious and plan to limit stand-by time and premium rate seasonal / weekend working.
- Ensure vendor callout forms are correctly completed & issued in a timely manner thus enabling resources to attend site as required.
- Review of call-out requests ensuring works proposed are appropriate, justifiable and that proposed durations / costs remain within budget.
- Ensure call-out forms are correctly coded to enable clear project cost allocation and timely payment of vendor invoices.
- Route call-out requests, and gain appropriate approvals, from Construction, Procurement and/or Cost Team management.
- Provide a clear expectation of which reports and/or deliverables will be required from the vendor.
- Ensure all site safety inductions are booked & entry passes applied for in advance of vendor mobilizing.
- Monitor all TSA agreements to ensure, where necessary, budget is increased in advance of vendor call-out.
- Ensure that vendor supervision resources are in place and fully aware of their role and responsibility during vendor resource time at site.
- Ensure vendor understands the requirements of invoice submittals ensuring the need for supporting documentation is clearly understood.

- Must be able to work alone and with other including (but not limited to) JV Partners, suppliers and customer contact.
Essential Skills, Knowledge, and Abilities (Include any training, licenses and certifications):
- 3+ years’ experience in vendor management, subcontractor management, and/or experience in a Procurement based role.
Valued but not required skills, knowledge and abilities:
- High level Inter-personal and Organizational Communication Skills
- Proficient in:
- Primavera Project Planner (P6)
- Microsoft Excel, PowerPoint, Word
Physical demands and work environment:
Physical demands: Maybe be asked to lift more than 10lbs.
Work environment: General office area and occasionally outdoors with extreme weather conditions. May work near moving mechanical parts and areas with exposure to High, precarious places, fumes or airborne particles, toxic or caustic chemicals, risk of electrical shock, radiation, vibration and low-lit areas.
