Vaccine Coordinator Job at Greater Portland Health
ESSENTIAL JOB FUNCTIONS: *
- Work across multiple sites and locations.
- Run and facilitate patient clinics.
- Oversee the ordering of vaccines at every site.
- Oversee proper receipt and storage of vaccine deliveries.
- Oversee the organization of vaccines within storage units.
- Check physical inventory of all vaccines in stock and monitor the processes in place established by site vaccine leads.
- Review processes and documentation of vaccine inventory information weekly.
- Review processes in place for temperature monitoring by site vaccine managers, spot check temperature logs.
- Ensure acceptable temperature ranges have been maintained and manage any refrigerator or temperature issues.
- Download and review stored temperature monitoring data at least weekly.
- Review and record storage unit minimum/maximum temperature readings once per workday, preferably in the morning.
- Ensure use of a calibrated thermometer with a current certificate to review refrigerator and freezer temperatures.
- Ensure refrigerator and freezer temperatures are recorded on a temperature log twice a day.
- Take immediate action if temperatures are outside acceptable ranges, notify the appropriate vaccine program.
- Monitor operation of vaccine storage equipment and systems.
- Ensure that temperature logs and any temperature excursion documentation are retained for three years.
- Rotate stock at least weekly so vaccines with the earliest expiration dates are used first.
- Remove expired vaccines from storage units.
- Maintain all documentation, such as inventory and temperature logs.
- Organize vaccine-related training and ensure staff completion of training.
- Ensure all staff are trained on routine and emergency vaccine management procedures.
- Maintain staff vaccine training records.
- Develop, review and update GPH’s Vaccine Management Plan.
- Oversee proper vaccine transport (when necessary) per standard operating procedures (SOPs).
- Oversee emergency preparations per SOPs.
- Track inclement weather conditions.
- Ensure appropriate handling of vaccines during a disaster or power outage.
- Implement the Vaccine Emergency Plan, if necessary.
- Plan and coordinate large vaccine clinics as needed.
- Perform other duties as assigned.
