TITLE: Job Description – Hospitality & Information Vacation Associate (Part-Time)

REPORTS TO: Director of Hospitality & Information


QUALIFICATIONS:

  • High school diploma or equivalent required; AA or BA desired.
  • Proficient with current technology including computers, multi-line phone systems, and computer kiosks. Working knowledge of current Microsoft Office suite. Knowledge and experience with Simpleview CRM database or a similar CRM system needed.
  • Prior experience in a tourism bureau or a call or service center working with the public required; experience in hospitality industry promotion preferred.

  • Ability to problem-solve

ESSENTIAL FUNCTIONS:

  • Manual dexterity to manipulate data, computer keyboard, calculator, telephone, and writing instruments.
  • Visual acuity to view computer screen, data, correspondence, and the telephone.
  • Mental health to perform operational tasks and operate office equipment.
  • Speech and hearing to communicate with other people and via all forms of media.
  • Ability to lift 35 pounds.
  • Have dependable transportation and a current driver's license.
  • Flexibility to carry out responsibilities on evenings, weekends, holidays, and to travel as needed.
  • Ability to read and comprehend information.

RESPONSIBILITIES:

  • Rotate as scheduled or as assigned between the Call Center, the Welcome Center, and Mobile Welcome Center locations.
  • Stand to greet all visitors in the welcome center lobby and assist them in meeting and fulfilling their inquiries in a warm, informative, and hospitable way. Maintain the Welcome Center lobby in a clean and orderly manner, reporting any cleaning or maintenance needs. Keep brochures and racks appropriately stocked; Maintain visitor log and IP referral data as directed.
  • Assist with special promotions, Welcome Center activities, and Mobile Welcome Center events within the community.
  • Unload and break down collateral boxes. Assist with maintenance of an orderly brochure stock room.
  • Answer all visitor calls, emails, mail, or texts, as needed. Enter inquiry information into Simpleview database; Download and process any inquires recorded in voicemail. Fulfill requests for mailing specialty brochure collateral on a daily basis.
  • Assist with production of Convention Packets as requested. Assist with activities being carried out by volunteers.
  • Responsible for learning and maintaining current knowledge of area businesses, attractions, events, and Industry Partners.
  • In the event of an occurrence or an anticipated occurrence that produces a mandatory evacuation order for the CVB tax district, employee is responsible for reporting to the location designated by the President/CEO within 48 hours of the time of the occurrence.
  • Performs other duties as assigned by and coordinates and provides special project support to:
    • President/CEO
    • Vice President of Marketing
    • Director of Hospitality & Information
    • Welcome Center Supervisor

EVALUATION:

  • Three months after hire (probation period), then annually.
  • Participates in regular departmental meetings, CVB staff meetings and project meetings, as needed.
  • Participates in scheduled area FAM tours and other training, as assigned.
