Summary: The Unit Secretary is responsible for performing a variety of clerical duties on the nursing units; coordinating work within the unit and with other units/departments; reporting pertinent information to the immediate supervisor; responding to inquiries and requests from staff, patients, families, and visitors. 12 hour shifts/24 hour a week

Job Responsibilities for a Unit Secretary includes:

  • Greet visitors compassionately and professionally
  • Answer phones courteously and promptly, providing information on inpatient center and forwarding calls appropriately and recording messages as needed
  • Record patient admission and discharge activity in electronic medical record (EMR)
  • Timely transcription of all physician orders to the patient’s medical records
  • Coordinate room assignments and employee schedules
  • Assist/support clinical managers, physicians and other clinical staff as needed
  • Coordinate ancillary service needs of patients
  • Complete funeral home documentation
  • Use tactful communication in sensitive and emotional situations
  • Maintain daily census information
  • Maintain administrative and clinical supplies
  • Record and prepare meeting minutes, prepare check requests and types memos
  • Coordinate clerical and patient support volunteers
  • Act as liaison for building and company needs
  • Maintain confidentiality of patient/employee/proprietary information
  • Maintain log books, as assigned
  • Other duties as assigned
  • Coordinates activities of clerical volunteers
  • Maintains common areas (i.e. kitchen area, supply rooms, and break room)
  • Other tasks as assigned by Supervisor
  • Assist in the orientation and training of new employees or volunteers

Required: Minimum of two years in a health care administrative position or equivalent position
