Summary of Responsibilities:

The position is responsible for travel arrangements for tribal employees, maintenance of related records, and adherence to travel policies; providing vehicle registration services for the members of the Iowa Tribe of Oklahoma and vehicles owned by the Iowa Tribe of Oklahoma. The position will also manage and control records pertaining to Iowa Tribe of Oklahoma property within the governmental structure from acquisition through disposition.

Requirements:

Essential Duties and Responsibilities:

  • Prepare travel arrangements for tribal employees utilizing travel policy in compliance with applicable tribal and federal policy.
  • Reconciles travel advances and actual expenditures against tribal employee’s submitted receipts.
  • Provide vehicle registration services for the members of the Iowa Tribe of Oklahoma to include, upkeep all records of vehicles, lien entries, and collector tag issued, send reminder notices 30 days prior to expiration date, and maintain accurate registration records.
  • Maintain a method to manage and control Iowa Tribe of Oklahoma property within the governmental organization structure from acquisition through disposition. This includes written procedures, records and physical control of the diverse types of property.
  • Execute techniques and practices to control tribal property provided to tribal employees, managers, auditors, contractors and Tribal representatives.
  • Administer and oversee tribal property control system to include acquiring, receiving, recording, storing, moving, consuming, using, maintaining, taking inventories and disposing of property.
  • Ensure that property is properly marked and recorded prior to distribution or storage.
  • Coordinate the storage and issuance of property and responsible for disposing of aged or destroyed property.
  • Generate and maintain electronic records, ledgers and files for property management to include providing integrated financial, planning and reporting processes; account reconciliation; and integrate financial and property management systems.
  • Research and reconcile property on the discrepancy list for auditing purposes.
  • Update and correct property financial data on a continuous basis.
  • Other duties as assigned.

Education and Experience:

  • High School diploma or GED
  • One year experience in accounting or related field.

Knowledge, Skills and Abilities:

  • Knowledge and understanding of Property control system.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the tribe.
  • Skill and ability to organize and multi-task – ability to prioritize tasks by importance and accomplish highest priority tasks each day.
  • Ability to communicate courteously and effectively with co-workers, management personnel, suppliers, tribal leaders and the general public both orally and in writing.
  • Ability to work with others on an individual basis utilizing high interpersonal skills.
  • Must be able to read, understand, apply and retain knowledge of departmental rules, regulations, and policies.
  • Ability to apply concepts of basic accounting.
  • Outstanding organizational abilities and must be able to prioritize.
  • Naturally possess a welcoming and outgoing personality.
  • Basic use of Microsoft Office applications (Word, Excel, Outlook) and internet resources.
