Job Summary

Coordinate travel arrangements, travel-alternative options, and travel reimbursements of medium to high complexity for HMSA members to receive necessary medical care. Ensure services are consistent with applicable program benefits and guidelines. Serves as a resource to other travel coordination staff.

Duties and Responsibilities

  • Accept and process travel requests and reimbursement for travel of medium to high complexity for HMSA Members.
  • Understand and provide quality assurance for travel and lodging arrangements of medium to high complexity by scheduling air, ground, lodging and/or meal reservations in accordance with program benefits and guidelines
  • Maintain and apply a working knowledge of each HMSA Provider Network's capabilities as well as travel vendor capabilities, limitations, and requirements to effectively promote the most appropriate appointments and arrangements. Coordinate travel-alternative options for medical care, including telemedicine and appointments with visiting physicians.
  • Effectively communicate travel approvals, denials, and requests for more information in both oral and written form. Communicate travel or travel-alternative arrangements to members/providers in a cordial and professional manner. Maintain travel policies and procedures to include travel approval/denial criteria and workflows. Maintain clear, comprehensive, and systematic records of all travel arrangements and assist with conducting and reporting results from validation audits of travel vendor payments. Provide timely and accurate response to travel requests.
  • Accurately take inbound travel-related calls from members and providers.
  • Performs all other miscellaneous responsibilities and duties as assigned or directed.

Minimum Qualifications

  • Associate's degree (A.A.) or equivalent combination of education and work experience.
  • Excellent verbal and written communication skills
  • Basic working knowledge of Microsoft applications, including but not limited to Word, Excel, Outlook, and PowerPoint.
  • Strong PC knowledge and navigation proficiency.
