This position is responsible for training and supervising a back-up scheduling assistant to be available when the Staffing Coordinator is unavailable. The coordinator will have the discretion to be available outside the traditional work day to handle staffing matters that cannot be handled during the work day. Maintaining a healthy work-life balance is highly recommended, and a scheduling assistant can be used to monitor the nursing schedule and take after-hours calls on a regular basis to provide the coordinator with uninterrupted personal time.

The employee must be able to:

  • Read, write, fluently speak and understand the English language;
  • Demonstrate basic skills with a smart phone and a computer, and have the initiative to learn new software programs;
  • Be detail oriented, a problem-solver, and be able to work independently and efficiently;
  • Understand the importance of, and be committed to, adhering to the policies and procedures of the facility;
  • Form harmonious, professional working relationships with nursing staff, facility administrative team, and staffing agency administrators;
  • Maintain confidentiality of all information and personal aspects of employees and residents;
  • Deal calmly with frequent interruptions and some stressful situations;
  • Exhibit excellent customer service and a positive attitude towards the facility, its staff and its residents;
  • Commit to dependable, regular attendance at the scheduling desk Monday through Friday during hours agreed upon with facility administration, or provide trained back-up; and
  • Exhibit patience, tact, cheerful disposition and enthusiasm.
  • This position may require sitting for long periods of time and working on a computer, standing , bending, lifting up to 15 pounds, pushing, pulling, stooping, walking, reaching, and moving intermittently with or without appropriate and reasonable accommodations.


Essential Functions (with or without reasonable accommodations):

The following job functions have been determined as essential to the position of Staffing Coordinator at Pleasant View Home. The employee may be requested to perform other duties or tasks that are not listed but are within the competence and training of the individual, and considered a reasonable extension of this position.

  • Develop monthly work schedules using self-scheduling process to allocate nursing employees in shifts and positions.
  • Post schedules for timely and clear communication with staff.
  • Make appropriate adjustments and fill shifts as they become open.
  • Maintain daily communication with administrative and nursing managers.
  • Promptly act on request for staff coverage from nursing managers on a daily basis.
  • Accurately record time-off requests and time adjustments.
  • Accurately record incentive bonuses and inform the payroll specialist.
  • Work with human resources and the payroll specialist to advise them of employment status changes, staffing needs, leave of absences, etc.
  • Track scheduling trends and staff-to-resident ratios, prepare staff vacancy reports, assist with analyzing staffing deficiencies, and prepare other reports as requested.
  • Research and learn best practices for nursing home scheduling.
  • Assist in preparation and execution of orientation and training plans.
  • Additional responsibilities may be added after evaluation of performance and abilities, such as assistance with nursing staff recruiting, applicant screening and hiring processes.
  • Perform other related duties as assigned.

Work Schedule:

The Staffing Coordinator will work a mutually agreed upon schedule. A 30-minute unpaid, uninterrupted lunch period is recommended.
