Responsibilities

As the Space Data Coordinator with Hines, you will support Global Workplace team, taking daily direction from the Global Occupancy Planning Manager, and will own the ongoing maintenance of the internal Computer-Aided Facility Management (CAFM) tool (currently OfficeSpace) and all data and processes related to the CAFM tool. Responsibilities include, but are not limited to:


  • Maintain floor plans and space data in the global CAFM tool (OfficeSpace or equivalent tool) for Airbnb's global corporate office portfolio to ensure accurate, up-to-date information is always reflected

    • Work with the OfficeSpace support team to load new sites and floors when needed

    • Accurately update AutoCAD with minor changes to reflect changes in the field, as directed

    • Keep detailed site, floor, and space information up-to-date and consistent

    • Leverage the OfficeSpace support team for custom reporting and bulk data loads

    • Conduct quarterly data audits of the global portfolio

      • Send comms and audit materials to regional Workplace team members

      • Track audit responses/materials and send reminders as needed

      • Update floor plans and data according to audit feedback

      • Follow-up with regional Workplace team members for any necessary clarifications and to request review of the changes made in OfficeSpace

    • Follow Airbnb space numbering standards to ensure consistency throughout portfolio

  • Monitor the global desk booking tool and booking settings across the portfolio

  • Download and archive OfficeSpace data on a regular basis in order to facilitate historical reporting

  • Manage OfficeSpace permissions and training materials to ensure everyone has access to what they need:

    • Design efficient, effective permission sets in order to meet various needs

    • Assign permission sets based on user type, role, or other specific use case

    • Create and maintain training materials for specific uses of the Work Anywhere team, our cross-functional partners, and general Airbnb employee users

    • Perform live and recorded demonstrations of the OfficeSpace tool for various audiences

  • Supply key stakeholders with report downloads on a regular and ad hoc basis for various needs

  • Collaborate with Occupancy Planning team to determine and implement new opportunities for asset tracking in OfficeSpace (e.g. lockers, storage)

  • Work with the OfficeSpace support team to design new custom reports to meet the needs of the wider team and our cross-functional partners

  • Collaborate with the Occupancy Planning team to create and maintain clear methodologies for space designations, floor plan labeling, seat numbering, audit processes, and other processes to ensure visuals and data are as consistent as possible across the portfolio

  • Document and update processes in the Occupancy Planning Playbook in order to support consistency for the Occupancy Planning team and our key stakeholders

  • Conduct regular touchpoints with the Occupancy Planning team to capture immediate needs and future “wish list” items

  • Conduct regular touchpoints with the OfficeSpace team to communicate immediate needs, submit requests, view demonstrations of new feature roll-outs, stay informed about the OfficeSpace road map, and ensure our current and future needs are fully understood

  • Other tasks associated with maintaining and updating OfficeSpace in alignment with shifting priorities, policies, and processes of the Workplace team and their stakeholders and partners


Qualifications


Minimum Requirements include:


  • High School Diploma from an accredited institution
  • Two or more years' experience in AutoCAD strongly preferred
    • Changing units of measurement, scaling drawings, measuring areas

    • Drawing basic features in plan (e.g. walls, doors, and furniture shapes)

    • Working in model and paper space, plotting drawings as PDF

  • Familiar with (or willing to learn) Google Suite programs (e.g. Google Calendar, Sheets, Slides, etc.)

  • Knowledge of pivot tables (in Excel and/or Google Sheets)

  • Ability to read floor plans and translate a three-dimensional space to plan view

  • Positive approach to problem-solving

  • Strong written and verbal communication skills

  • Demonstrated ability to learn new technologies and tools

  • Comfortable with routine, repetition, and deadlines

  • Proven sense of ownership, responsibility, and self-discipline

  • Strong organizational and time management skills

  • Interest in continuous improvement

  • Comfortable working both independently and collaboratively

  • Alignment with Airbnb's core values

  • CAFM tool experience a plus (e.g. Serraview, SpaceIQ, OfficeSpace, Archibus)

  • Adobe Illustrator experience a plus
