Administrative Support (PCHA)

The Site Supervisor will have responsibility for the clinical and non-clinical staff and aspects of the day-to-day operations in a specific clinic location. Under general supervision of the Practice Manager and following established practices, policies and guidelines, the Site Supervisor provides overall supervision of clerical and administrative duties which may include responsibility for specific business activities of the office such as patient account coding, billing, budget and finance, human resources, safety, supplies and inventory, etc. The Site Supervisor has an excellent understanding of necessary scheduling and PCHA computer applications, departmental functions and its interrelation with the larger PCHA organization. This is a high visibility position, with frequent interactions with the general public, patients, physicians, and staff, and as such, serves as a general information resource to visitors and staff.


Essential Functions

  • Supervises the non-physician clinical and non-clinical staff, work schedules, staffing, clinic operations, and patient accounts.
  • Provides leadership to staff, conducts annual performance evaluations, and ensures positive physician/staff relations and patient customer service.
  • Recruits, hires and manages staff; monitors staffing, delegates and coordinates tasks in order to maintain a system which assures effective, quality patient service, including coverage in service gaps.
  • Oversees patient scheduling, registration, cash posting, billing, and EMR/records-keeping.
  • Ensures timely completion of work assignments in accordance with established timelines.
  • Ensures patient customer service standards are met, fields patient concerns and proactively works to achieve positive outcomes.
  • Adheres fully to corporate policies governing voicemail, HIPAA and network access as well as those protecting the privacy of patients.
  • Identifies any important trends, concerns, and suggestions that need to be brought to the attention of the Practice Manager.
  • Collaborates with Practice Manager on quality of care issues, customer service, budgetary needs, and operational efficiencies.
  • Communicates with property management regarding appropriate upkeep/maintenance of the clinic facility.
  • Maintains inventories of supplies and equipment and contacts vendors for status of shipments, correct errors in shipment and charge, and manager maintainance of equipment in the clinic.
  • Works with IT staff to maintain a functional EMR/billing systems and related computer/phone equipment.
  • Provides timely reporting status of Standard Work to include Patient Satisfaction Scores, open encounters, work queues, front end edits, budget, variance, EPIC dash board, no show rates, visits, P-Card, website (group/reviews) and referrals.
  • Ensures that all PCHA, regulatory, and quality policies/requirements are met.
  • Other duties and projects as assigned.

Minimum Qualifications

  • Education: High School education with courses in business, accounting, computer operation & applications, correspondence. Bachelor's Degree preferred.
  • Experience: Minimum two years of progressively responsible medical office, supervisory and administrative experience. Certified Billing Coder experience preferred.

Knowledge, Skills, and Abilities

  • Demonstrated ability to compose business correspondence.
  • Ability to edit material and ensure correct punctuation, spelling and grammar.
  • Ability to perform simple mathematical calculations.
  • Ability to work with initiative and independence.
  • Ability to interact effectively with physicians, clinic staff, patients and representatives of public agencies and businesses.
  • Ability to communicate effectively in English both orally and in writing.
  • Must possess a minimum computer competency comprised of a working knowledge of Windows or a comparable system (specifically including keyboarding and mouse skills). Must additionally possess a working knowledge of word processing , spreadsheets, presentation development, E-mail browsers and on-line reporting.
  • Knowledge and understanding of the organization, functions, policies and procedures of the Department, and the inter-relationship with Packard Children's Health Alliance, and the ability to apply the knowledge to the work of the office.
  • Experience demonstrating the ability to handle multiple tasks frequently with short time-lines, to prioritize and organize work, and to complete assignments in a timely, accurate manner.
  • Good interpersonal, time management, critical thinking and self-initiation skills.
  • Utilizes appropriate communication with sensitivity to special patient populations of diverse cultural background, age, developmental and physical disabilities .

The ability to travel to clinic and office locations around the Bay Area.

Pay Range

Compensation is based on the level and requirements of the role.

Salary within our ranges may also be determined by your education, experience, knowledge, skills, location, and abilities, as required by the role, as well as internal equity and alignment with market data.

Typically, new team members join at the minimum to mid salary range.

Minimum to Midpoint Range (1.0 FTE): $78,353.60 to $97,947.20
