Purpose:

The Senior Executive Assistant to the Chief Executive Officer (CEO) provides administrative support to the CEO analyzing solutions and taking action on behalf of the CEO in response to inquiries from employees, the community, governmental and elected officials and others while maintaining confidentiality and integrity within the office. Provide principal support to the Board of Directors. This position must balance support with the Board and the CEO and serve each without compromising obligations to either. Must work in concert with the CEO and handle delicate issues with employees, Board, and public with sensitivity and diplomacy and represent Neighborcare and the CEO well.

Primary Responsibilities:

  • Provide administrative support to the Chief Executive Officer (CEO). This includes daily and routine administrative and project support assistance.
  • Exercise a high degree of independent judgment and decision-making, consulting with the CEO and others as appropriate.
  • Maintain confidentiality and integrity within the Office of the CEO both internally and externally.
  • Provide administrative and secretarial support for the CEO and Board, including travel and conference arrangements; composing correspondence, reports, etc.; scheduling appointments; and arranging meetings, conferences and events.
  • Coordinate Board activities with guidance from the CEO. Initiate and prepare materials for the Board of Directors and committee meetings, compose and assemble agenda items, prepare resolutions and minutes, prepare communications to Board members.
  • Maintain the Articles of Incorporation, Bylaws, minutes, and various corporate and organization records.
  • Interface with the Board, local and state elected and appointment officials, and stakeholders.
  • Provide support to the Board, Board Committees, Executive Leadership Team, and Leadership Teams, coordinating agenda preparation for meetings and information dissemination with the CEO, Executive Team and others. Coordinates logistics for these and other meetings. Attends meetings, takes notes, and composes meeting minutes.
  • Oversee the development, implementation, and maintenance of administrative systems, i.e. archives, corporate documentation.
  • Plan and coordinate meetings, retreats, and special functions. Compile and prepare materials, coordinate facilities, travel, meals, and other arrangements.
  • Serve as liaison between the CEO, staff, vendors and the community.
  • Serve as cost center manager for Board and CEO budgets – formulates budget for review by the CEO; monitors budget on a routine basis, and processes invoices and credit card reconciliation.
  • Performs other assignments as directed by the CEO.

Required for this job:

  • Ability to communicate respectfully and with people of varied racial, education and socio-economic backgrounds.
  • High level experience with Microsoft Office software of products including: Microsoft Word, Excel, Teams, OneDrive, OneNote and PowerPoint.
  • Exercise independent judgment and make appropriate decisions in the routine conduct of business.
  • Strong organizational skills, including the ability to set up and maintain organized and efficient office systems.
  • Ability to be detail-oriented, multi-task, organize, problem solve and to follow up on tasks.
  • Ability to display consistent professional and ethical conduct.
  • Ability to read, write and communicate in English and understand basic math
  • Ability to learn from directions, observations and mistakes and apply procedures using good judgment.
  • Ability to demonstrate predictable, reliable and timely attendance.
  • Must be able to abide by HIPAA laws and NCH’s policies

Preferred for this job:

  • Ability to effectively perform job duties under high levels of activity, variety of conditions and restraints.
  • Ability to be a system thinker.

Required qualifications for this position include:

  • Bachelor’s Degree
  • At least three (3) years office management experience at the executive level.
