Senior Executive Assistant Job at First Technology Federal Credit Union
The Senior Executive Assistant provides administration support to C-suite level executives including preparing leadership presentations and reports, calendar management, meeting scheduling and support, travel planning, event planning, and expense report management. This position also provides Board of Directors administrative support.

Job duties
- Manage daily schedules and calendars for assigned executives
- Organize meetings and events (including space, technology, catering, agenda etc.)
- Coordinate, schedule and arrange travel for executives and Board of Directors in alignment with travel and expense guidelines
- Edit and format reports and presentation; distribute as appropriate
- Validate and distribute email correspondence on behalf of executives
- Reconcile, validate and process expense reports and corporate credit card statements
- Coordinate vendor invoice management including receive, post, approval
- Support Board of Directors and Committee meetings in alignment with executive requests (including scheduling, set-up of boardroom PC/audiovisual equipment, monthly report creation, and transcription and distribution of meeting minutes)
- Interface with high level internal/external contacts requiring considerable discretion and initiative
- Provide back up support for other executive assistant(s) when needed
Essential skills
- Minimum Education: High School Diploma; Bachelor’s degree preferred
- Minimum 5 years’ experience as an executive assistant; financial institution experience preferred
- Experience in meeting coordination, calendar organization and event planning including travel coordination
- Strong business communication skills; able to write/speak clearly and professionally for a variety of audiences
- Proficiency in preparing reports and charts for presentations
- Proficiency with meeting/remote connection technology, including ability to troubleshoot and find timely resolutions
- Exercise independent judgment to reflect the executive’s expectations regarding company policies and practices
- Demonstrated ability to observe and anticipate needs by being aware of complex office activities and offer efficiency suggestions
- Advanced knowledge of Microsoft Office Suite
- Ability to work in a team environment

Location: Hillsboro, OR 97124 (Full Time On-Site)
Target Compensation in Hillsboro, OR: $32.69 to $36.77 per hour + annual bonus
