Definition of Classification:

The Senior Director of Advancement Services serves as the Chief Information Officer for the University Advancement division, providing strategic leadership in the division’s work to create and manage an effective infrastructure that supports the University's fundraising efforts. Oversees all Advancement Services functions, including gift processing, maintenance of the alumni records, and research. In conjunction with Information Technology Services (ITS) department, oversees the process of formulating a plan to address data integrity issues in the existing Advancement database, and the selection and conversion of a CRM for University Advancement

Reporting to the Vice President for University Advancement, serves as a member of the University Advancement leadership team and has primary responsibility for supporting institutional fundraising efforts by administering the University's fundraising and alumni database system; collecting and disseminating data through comprehensive report writing; creating and implementing best practices, policies, and procedures to ensure data integrity; and assisting the development of a comprehensive major prospect management program.

This position requires flexibility to work outside normal business hours including evening, and weekend hours as well as the ability to travel as required.

Duties and Responsibilities:

The duties and responsibilities include, but are not limited to, the following:

  • Leads and directs the optimal use, maintenance, and functionality of the fundraising system in support of fundraising and constituent needs – an essential element to institutional credibility, potential income, and donor relationships.
  • Administers software security classes by establishing user account permissions and ensures the functionality of the fundraising database’s ancillary systems.
  • Oversees administrative global data changes and imports, and builds software infrastructure through the development of tables, screens, and processes to facilitate the functionality and flexibility of the database.
  • Develops and maintains comprehensive training materials and conducts system training sessions for staff inside and outside of the division.
  • Assesses current and future divisional information service needs, anticipating and planning for growth and utilization of the database system.
  • Primary liaison to the University's ITS department.
  • Works directly with the selected software vendor on contract negotiations, supplemental software and licensing, and annual maintenance contract negotiation and development, in conjunction with the University's ITS department.
  • Assess the current structure and recommend an organizational structure and appropriate position that will serve University Advancement to meet best practices for a University Advancement Services office.
  • Oversees the development and maintenance of job descriptions, plans, directs, and assigns work of assigned staff, makes hiring and disciplinary decisions, provides feedback on performance, and approves timesheets.
  • Directs, mentors, and appraises professional and support staff, promoting a team atmosphere, promoting good data hygiene, establishing priorities, setting clear and measurable performance goals, and conducting mid-year and year- end performance evaluations.
  • Develops and manages the Advancement Services and divisional technology budgets.
  • Prepares an annual plan, outlining departmental goals and objectives and tracks the ongoing performance of the department.
  • Produces annual departmental progress reports for the Vice President for University Advancement.
  • Supervises staff, including hiring, scheduling, and assigning work, reviewing performance, and recommends salary increases, promotions, transfers, demotions, or terminations.
  • Manages others through subordinate supervisors.
  • Devise strategies for ensuring the growth of programs enterprise-wide and implement process improvements to maximize output.
  • Provides divisional support for hardware and software purchases and tracking.
  • Manages new employee orientation related to systems, processes, hardware, and software. Ensures account and access termination for separating employees from systems associated with advancement.
  • Designs, produces, and analyzes statistical reports for fundraising campaigns as well as specialized requests used by staff and leadership, including the University President, members of the Board of Trustees, and key volunteers, using various reporting methods.
  • Develops comprehensive donor listing for the annual Report of Gifts.
  • Produces annual Voluntary Support of Education (VSE) survey data for CASE.
  • Provides technical support and information for direct mail, telemarketing, and alumni directory services.
  • In close cooperation with the Director of Donor Relations and Communications, develops and executes a timely and effective gift acknowledgement process.
  • Develops and maintains comprehensive standard operating procedures for the fundraising system, including gift and pledge processing, prospect management, gift acknowledgement, and reporting.
  • Responsible for the development, implementation, and enforcement of procedures, policies, and training that ensure the privacy and security of electronic and physical records maintained by the division.
  • Ensures compliance with IRS, FASB, and GLB regulations.
  • Works as a part of an integrated leadership team to establish overall goals and strategies for increasing support to the University.
  • Participates in decision making and policy development for University Advancement division.
  • Gather and synthesize relevant data, leading analyses and presenting final recommendations that will drive short- and long-term growth.
  • Performs other duties as assigned.

Qualifications Guidelines

Any combination equivalent to, but not limited to, the following:

Experience/Training/Education:

  • Bachelor’s degree is required.
  • Minimum of five years of related experience with seven years preferred including three years of supervisory experience.
  • Experience in nonprofit and/or higher education preferred.
  • Experience working with relational databases is a necessity.
  • Query language skills required.
  • A valid California Class C CA drivers’ license with a good driving record is required.

Knowledge and Skills:

  • Proficiency in Advancement database and/or Advancement CRM.
  • Knowledge of Microsoft Access, Excel, SPS, SAS, or similar statistical analysis software and an understanding of how to use those tools to direct various analytics projects.
  • Experience in problem analysis, problem resolution, and decision making. Experience leading new major initiatives at a department level (such as system conversion, campaign, etc.).
  • Strong knowledge in sophisticated process, technology, and project management skills, as well as strong analytical skills.
  • Advanced proficiency using the Microsoft Office suite of programs (especially Excel and Word), in a networked Windows-based environment and system management.
  • Ability to streamline or implement structures and roles that boost speed and efficiency while supporting rapidly shifting business demands.
  • Experience in developing budgets, business plans, and department restructuring for effectiveness improvement.
  • Demonstrated knowledge of and proficiency in overseeing fundraising best practices and related compliance.
  • Well-developed interpersonal skills including excellent oral and face-to-face communication skills, as well as the ability to consistently produce concise, professionally written communications; ability to interact effectively with all levels of the organization, including executive level staff; a team player.
  • Ability to handle highly confidential information with respect and discretion.
  • Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.

Standard office and field setting. Duties performed are primarily in an office environment while sitting at a desk or computer workstation or in meetings. At least minimal environmental controls to assure health and comfort. This position requires flexibility to work outside normal business hours, including evening, and weekend hours as well as the ability to travel, as required.

HIRING RANGE: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training. The University of Redlands is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is defined as the Full Pay Range. The budgeted salary or hourly range that the University reasonably expects to pay for this position defined as the Hiring Range. Placement within the Hiring Range is determined by internal equity, and relevant qualifications.

Public Safety Officers, in addition to a pre-employment physical exam, will also be required to pass a psychological evaluation.
