Title: Seminary Receptionist and Administrative Coordinator for the Department of
Vocation and Formation

Classification: Non-Exempt

Position Status: Regular Full Time, 40 hours per week

Supervisor: Vice President for Leadership Formation

Position Summary:

The Seminary Receptionist and Administrative Coordinator for the Department of Vocation and

Formation supports the mission of Wartburg Theological Seminary by serving as the primary receptionist

to the institution with oversight of guest housing, and coordination of international students. This position

will also provide logistical and registration support for department events and activities, data input for

admissions and financial aid, and assist the Vice President for Leadership Formation with administrative

support.

Major Responsibilities/Activities:

Support of the Seminary

  • Serve as the primary receptionist for the Wartburg Theological Seminary, greeting guests and

showing exemplary hospitality.

  • Serve as the International Student Coordinator.
  • Answer calls from the main seminary phone line and directs calls appropriately.
  • Liaison with external partners and provide scheduling support for public events on campus.
  • Manage all guest housing including reservations, key preparations, and payment. Communicate

regularly with housekeeping concerning scheduling needs.

  • Assist with signage of seminary events as needed.

Support of the Department of Vocation and Formation

  • Provide coordination, logistics, and registration support for all Department of Vocation and

Formation events including Prolog weeks, admissions events, Learning for Life offerings,

commencement, and contextual education trainings.

  • Process incoming department mail, facilitate department communications, and coordinate

department meetings.

  • Provide application processing and Jenzebar support for the Director of Admissions.
  • Provide data support for admissions and financial aid as needed.
  • Serves as the administrative assistant to the Vice President for Leadership Formation.

Other duties:

  • Assume other responsibilities as appropriate or as assigned by the Vice President for Leadership

Formation.

Supervisory Responsibilities:

Position is not responsible for supervision of other employees.

Qualifications:

Education & Experience Required:
• Associates degree and/or experience in administrative support roles or project management.


Skills Required:

  • Understand and support the mission of Wartburg Theological Seminary.
  • Ability to maintain strict confidentiality and appropriate boundaries.
  • Exceedingly organized and detail-oriented with the ability to anticipate the needs of guests.
  • Proficiency in Microsoft Office and SharePoint programs.
  • Able to quickly learn the necessary technology and applications used in the Department of

Vocation and Formation.

  • Upbeat, friendly personality that can extend welcome and hospitality to constituents, students

and guests.

  • Ability to work well with others; be a team player.
  • Excellent oral and written communication skills.
  • Self-starter with ability to think and work with limited direct supervision.
  • Ability to multi-task and prioritize work.
  • Demonstrated competency in intercultural contexts.

Work Environment:

This position has frequent interaction with faculty, students, staff, board members, and other Wartburg

constituents and guests. This position operates in a professional office environment. This position

routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.

This position is non-exempt and may require occasional evening or weekend work for special events.

This position is based in Dubuque.

Physical and Mental Demands:

While performing the duties of this job, the employee is regularly required to talk, hear, move around, and

work at distances close to the eyes. Arms, hands and fingers will be needed to handle and reach.

Employee will occasionally need to lift boxes or materials up to 10 pounds. Concentration and ability to

work at one location standing or sitting for long periods of time. Ability to follow written or oral

instructions, and ability to solve practical problems with little supervisory involvement.
