GENERAL DESCRIPTION OF WORK:
Responsible for the full range of administrative and clerical support for a large division, or one with more than one supervisor. Responsible for the assignment and scheduling of work and for providing information and guidance to subordinate personnel.
ESSENTIAL FUNCTIONS:
Provides clerical support for 1-4 professionals.
Sets up and types final drafts utilizing word processing equipment.
Compiles information, keeps records and orders supplies.
Establishes, maintains and updates division files and reports.
Provides information and guidance to subordinate personnel.
Assigns and schedules work of subordinates.
Utilizes advanced word processing functions and special applications.
Maintains message system to include tracking staff, answering, screening and routing incoming calls. Takes accurate messages. Answers routine inquires.
Receives visitors and guests.
Opens, screens and distributes mail.
This job description excludes marginal functions that are incidental to performing the job. Other duties may exist.
EDUCATION AND EXPERIENCE:
Must have completed high school or equivalent plus at least one year of business school or college, and have at least two years related experience or an equivalent combination.
ADDITIONAL REQUIREMENTS:
Must have acceptable speed and accuracy in typing.
Ability to utilize some advanced word processing functions.
Analytical ability to gather and interpret data in situations where problems are not difficult or complex, such as diagnosing common computer errors, maintaining records or editing documents for errors.
Ability to operate usual office equipment.
Good verbal and written communication skills to include spelling, proofreading, grammar and punctuation.
Mathematical skills to perform basic calculations.
Ability to understand and utilize various computer software applications to include: word processing, spreadsheet and various programs dealing with the division’s database.
Effective interpersonal skills both in person and by telephone.
Must have ability to read and understand semi-complex materials such as reports, reference manuals and instructions.
Ability to maintain confidentiality of sensitive material.
Must be able to maintain good work attendance.

PHYSICAL REQUIREMENTS:
Physical ability required to be mobile, bend, stoop, stand, reach and occasionally lift objects weighing 5-25 pounds such as files, supplies and large reference books.

Work involves deadlines and multiple priorities.
Works within normal physical office environment.
Job Type: Full-time
Pay: $2,857.00 - $3,854.00 per month
