Job Title: Payroll/Sleeper Administrative Assistance
Job Description:
The Payroll/Sleeper Admin works in a fast-paced office answering phones and checking emails/voicemails and respond accordingly. He/She will communicate any schedule changes with dispatch and sleeper drivers. Print updated LMA and update sleeper team LMA book and sleeper team’s box, if necessary. Print maps if necessary. Communicate with Solution Center to order or replace fuel cards, add drivers into system to fuel, or any other fuel card issues. Admin will track/submit/order/replace/return/assign any toll passes and permits (PrePass, Oregon Weight Receipt & Tax Identifier). Build/rebuild files for sleeper jobs to be kept in tractor. Keep track of teams in spare tractors, when and where their tractor will be ready for pickup. Keep tractor permits, paperwork, up to date in binder which includes insurance, IFTA cab cards, etc. Assist in printing DOT paperwork for drivers due for recertification in UPSers.com, when needed. Assist drivers with My CDL website for self-certification for driver’s license and to submit MEC when needed. Communicate with Penske on any tractor issues, spares, tractor swaps. Communicate sleeper transition schedules to sleeper drivers and start work coordinator. Complete and send out sleeper control log.
Additional Responsibilities include:
- Submit monthly expense account.
- Complete annual certification including ramp and escort.
- Assist yearly with MVDC’s, United Way, and HOS, compliance training, when needed.
- Track sleeper schedules daily and communicate changes to teams during peak season.
- Assist payroll clerk.
- Cover payroll clerk as needed.
- Fuel reports (coverage only).
- Optional Holiday/Vacation days (coverage only).
- Sleeper holiday plans (train/coverage only).
- Keep sleeper wash sheet updated as sleeper jobs change.
- Escort Penske mechanics/Suburban/contractors if needed.
- Communicate with Jacobi for DEF, set up drops outside our normal schedule as needed.
- Order missing license plates.
- Order sheet sets, snow chains, bungees for new sleeper teams.
- Assist with bumps and bids.
- Start work (Coverage only).
Required Skills:
- Must be able to type, use computers, and multi-task without error.
- Good communication skills (both written and verbal).
- Must be able to work under stressful situations maintaining a professional attitude.
