The Scheduler – Fire Alarm Services will directly perform all office administrative duties and responsibilities within the Fire Alarm Services group of Total Fire Protection, with a focus and concentration on coordinating specific administrative functions and duties, as detailed below, in support of the Company’s Fire Alarm Services team. As the Scheduler – Fire Alarm Services, you will report directly to the Fire Alarm Services Operations Manager and assist in the smooth operation of the Fire Alarm Services Operations from reviewing reports and work orders to preparing, distributing, and filing reports, and other departmental documentation. You will be directly responsible for the following:
Essential Duties and Responsibilities:

- Understand Total Fire Protection’s strategy, business, and growth initiatives.
- Scheduling and dispatching Field Technicians to appropriate locations according to customer’s scheduled maintenance, customer requests' and emergency service calls.
- Manage the workload of assigned Field Technicians.
- Receive incoming requests for services and assign for completion on a priority basis.
- Develop service routes and maintain contact with Field Technicians throughout the day.
- Act as a communication liaison and answer incoming phone calls from Field Technicians.
- Cultivate strong relationships with Field Technicians and customers to reduce the stress that comes with last minute schedule changes.
- Monitor any sudden route changes and work with Field Technicians to establish new routes for timely Services.
- Prepare work orders, messages and information to and from Field Technicians.
- Receive and respond to all client inquiries, requests and complaints.
- Follow-up on all issued service proposals to help solicit Customer approval.
- Coordinate all tasks associated with the work order life cycle for Fire Alarm services.
- After Customer approval of proposals, coordinate the necessary field work, including but not limited to the scheduling, confirmation, and verification of work completion, consistent with the corresponding proposal(s), per Customer and Company expectations.
- Establish, foster, and sustain Customer relationships in ensuring all services are executed and delivered to our Customers, consistent with expectations of said Customer and the Company.
- Ensure proper and first-class Customer service is consistently provided to our Customers and manage the process in ensuring said service is provided to the Company’s expectations.
- Uphold all relevant policies and procedures consistent with representing the Company throughout the industry, with a specific focus on ensuring the Company brand/image is consistently represented in a first-class manner.
- Quarterback all tasks associated with the scheduling, dispatching, confirming, and coordinating all field work, which includes confirming and coordinating the services directly with the Company’s Customers.
- Assist the Fire Alarm Services team following-up with all Company sub-contractors and outsourced vendor community to ensure proposed services are properly scheduled, confirmed, and executed consistent with Company and Customer expectations.
- Demonstrate knowledge of and be able to execute the Fire Alarm Services offered by the Company and assist in providing necessary support to ensure services are consistently delivered to Customers.
- Log all monthly Fire Alarm Services work orders and service reports, reviewed and approved by the Fire Alarm Services Operations Manager and/or Director.
- Lead the effort in obtaining all relevant Customer service reports in ensuring all work is completed in compliance with approved proposal and consistent with Company and Customer expectations.
- Adherence to policy and procedures for all Customer related inquires.
- General office Administrative Management in the department.
- Other responsibilities, as assigned by Fire Alarm Services Operations Manager and/or Director.
Requirements:
- Three (3) three years of related work experience and bachelor’s degree preferable.
- The ability to detect individual customer needs and clearly present key benefits of doing business with Total Fire Protection.
- Strong planning, organization, analytical, and problem-solving skills with the ability to handle multiple concurrent projects.
- Ability to work in a fast-paced, virtual, and dynamic environment.
- Strong conceptual thinking abilities.
- Ability to function independently in a team environment with little supervision.
- Can work in a collaborative environment while also working independently.
- Must be detail oriented, conscientious and have a strong work ethic and ability to multitask.
- Self-motivation, strong work ethic and career oriented.
- Strong organizational and interpersonal skills. Excellent written and verbal communications skills.
- Strong knowledge of Microsoft Office application (Outlook, Word, and Excel).
- Excellent editing, organizational, analytical and interpersonal skills.
