The Facility coordinator will oversee the day-to-day operations of the building(s) or facility; with an array of responsibilities to include overall management along with various project management responsibilities.
Principal Responsibilities:
- Works on facility problems of moderate scope where analysis of the situation and data requires a review of multiple factors.
- Exercises judgement within the defined procedures and practices to determine appropriate action.
- Responds to telephone and/or ticketing system from staff for emergency assistance.
- Performs other job-related duties required.
- Assumes responsibility to improve service, efficiency, and quality of work.
- Exercises sound judgement in selecting methods and techniques for obtaining the appropriate solutions.
- Manages vendor relationships/procedures and provides an interface with external suppliers and contractors to assure acceptable, cost-effective and schedule minded programs.
- Oversees and/or coordinate maintenance/repair work assignments performed by technicians, vendors, and contractors.
- Assists in the preparation of operating and capital budget.
- Maintain an updated record of invoices from external partners (e.g., suppliers etc.) related to facility work.
- Reviews/approves all third-party suppliers such as Verizon, National Grid for accuracy.
- Keep track of regular and ad-hoc facility expenses
- suppliers, insurance agents, security guards)
- Managing equipment and supply needs including furniture, kitchen areas, office equipment and supplies
- Document processes and ensure maintenance records are current.
- Manages/oversees security guards, cleaning staff and consults with the SRO team on security items.
- Key contact for the property management
Required Experience/Skills
- Ability to multi-task
- Program/project management experience helpful
- Strong organizational and communication skills with attention to details
- HSE (Health, Safety & environment) experience helpful
- Experience managing budgets and expenses is helpful.
- Bachelor’s or associate degree in project management or similar
- Course in facilities management will be useful.
- Proficiency in MS Office
