Job Summary
The Residency Program Assistant reports to the Director of GME. The Residency Program Assistant supports the GME office and residency programs in maintenance of a well-organized, efficient, supportive and scholarly environment for graduate medical education. The Residency Program Assistant is committed to the provision of Graduate Medical Education and communicates regularly with physicians and healthcare professionals. This position supports CDU’s mission of developing culturally competent medical professionals dedicated to eradicating health disparities in under-served communities, hallmarks of service excellence, and quality for all job responsibilities.

Essential Duties
  • Supports various aspects of the GME infrastructure.
  • Provides administrative support the GME Office and Program, including typing, incoming and outgoing correspondence, maintaining calendars, travel arrangements answering phone and other routine administrative duties.
  • Compiles and analyzes data, participates in development, and preparation of documentation in support of the GME Program. Utilizes and performs functions on New Innovations residency management system.
  • Under direction of the GME Office, performs resident verifications.
  • Assists in preparation of documents for various regulatory bodies such as Residency Review Committee, Accreditation Council for Graduate Medical Education, Clinical Competency Committee, Program Evaluation Committee, tracking surveys for specialty boards and societies, National Resident Matching Program, and state and federal agencies.
  • Coordinate resident and faculty recruitment activities such as preparing interview schedule, arranging lodging and meals, touring. Work with residency program administrator(s) in screening applicants for interview season via ERAS and NRMP.
  • Schedules meetings and prepares materials needed for conferences.
  • Completes purchasing and purchase requests for GME Office and personnel. Reviews monthly financial data, prepare and mark reimbursement vouchers, travel requests, capital requests, etc. Actively participates in all cost containment measures at the office/department level.
  • Works with Residency Program Administrators to develop and coordinate new resident orientation including materials, meeting room arrangements, catering, and coordinating materials and supplies. Manages administrative ‘day-to-day’ of the annual Community Health Rotation.
Other Duties and Responsibilities:
  • Preforms other duties as assigned.

Required Qualifications
EDUCATION :
  • Regionally accredited bachelor’s degree preferred; and/or equivalent of combined education and experience in a related field.
EXPERIENCE :
  • One to two years administrative experience, preferably supporting a University or Hospital Medical Education program.
  • Experience working in a remote work environment.

Minimum Requirements
  • Demonstrated ability to plan, coordinate and schedule various office activities, establishing priorities with high attention to detail. Ability to manage time effectively.
  • Strong proficiency with MS Office: Word, Excel, PowerPoint, Publisher and Outlook, along with information technology platforms.
  • Strong verbal communication, written communication, and critical thinking skills.

Preferred Qualifications
  • Bachelor’s degree preferred.
