The purpose of the Reservations Concierge Manager is to oversee the operations and ensure the success of the Reservations Concierge Team. Reservations Concierge assists with handling all incoming requests for Member and guest registrations, dining reservations, event registrations and outside vendor transportation, rental cars, and other services.

Directly or indirectly supervises employees and/or supervisors; carries out supervisory responsibilities in accordance with the Club’s policies, procedures, and applicable laws; responsibilities include but are not limited to: recruiting and assisting with training new staff, delegating tasks, reviewing schedules, and planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems; and assisting in software and program development.


Essential Job Functions:

  • Manage all facets of the Reservations Concierge team.
  • Maintains Member/guest history system with Member/guest preferences.
  • Assist with the continued development and implementation of the Yellowstone Club access control system in its relation to Members and guests as well as on mountain activity.
  • Maintain functionality of access control systems.
  • Assist with the development of third-party software system functionality to better meet the needs of Yellowstone Club’s Member and guest management and tracking systems.
  • Gather and manage Member and guest arrival and departure information.
  • Creates and maintains ongoing training programs to develop a strong staff.
  • Updates manuals and handbooks on a routine basis.
  • Maintain Concierge related documents/resources/draft emails with the most updated information.
  • Hire, train, evaluate, and offer progressive coaching to all staff for the Reservations Concierge team.
  • Maintain payroll and assist with being a housing liaison for individuals in YC housing.
  • Maintaining a professional appearance and having an eager and flexible attitude.
  • Competent interpersonal relationship skills, etiquette, and protocol.
  • Generates schedules, checklists, and daily to-do lists for staff.
  • Maintains existing procedures to ensure that information is passed along to team members in a timely fashion.

Other Duties and Responsibilities:

  • Data input and management.
  • Perform all job duties with a high level of attention to detail.
  • Excellent problem-solving skills, ability to work well under pressure, and a strong desire to learn.
  • Knowledge of correct Concierge etiquette.
  • Perform all duties and responsibilities in a timely and efficient manner in accordance with established Club policies, procedures, and standards of service to achieve the overall objectives of this position.
  • Meet departmental productivity, organization, and consistency standards.
  • Maintain a positive and respectful attitude.
  • Treat Members, guests, vendors, customers, and co-workers with professionalism and respect at all times.
  • Maintain the privacy of our Members at all times.
  • Maintain a clean and neat appearance at all times.
  • Communicate regularly and effectively with all employees and managers.
  • Must be able to work flexible work hours/schedule including evenings, weekends, and holidays. Long hours may be required due to business demands.
