TITLE: Receptionist Part-Time

Shift: 9-5 pm **Every other weekend**

MAJOR PURPOSE: Responsible to perform reception duties in an efficient, pleasant, and professional manner, in accordance with established policies and procedures and as directed by the supervisor.

TITLE OF SUPERVISOR: Administrative Assistant

Job Description

QUALIFICATIONS:

1. Excellent communication skills, both written and oral.

2. Ability to read, write and comprehend English; ability to follow oral and written instruction.

3. Ability to make independent decisions when circumstances warrant such action and to remain calm during emergency situations.

4. Must be knowledgeable of administrative practices, procedures, and guidelines.

5. Ability to understand and operate the mechanics of a multi-line telephone/paging system.

6. Must possess patience and the ability to relate tactfully with personnel, subordinates, residents, family members, visitors, and the general public.

7. Must possess a working knowledge of word processing systems.

8. Preferably a high school graduate or equivalent.

WORKING CONDITIONS: Works in an appropriately lighted and ventilated environment. Subject to pressure from ill, disabled, elderly, and at times upset individuals within the facility and their families as well as multiple/emergency calls.

PHYSICAL REQUIREMENTS:

1. Must be able to move intermittently throughout the day, proper body mechanics required—bending, stooping, turning, stretching, reaching above the shoulders and occasional lifting are involved.

2. Must be able to cope with the mental, emotional, and physical stress of the position.

3. Must be able to observe, listen and communicate effectively.

4. Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, personnel, support agencies, and outside agencies.

5. Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and at times hostile people within the facility.

PRIMARY FUNCTIONS:

1. Operates paging/telephone system as required and monitors courtyard via surveillance camera.

2. Answers telephone, determines nature of call and relays information within the facility as necessary. Takes messages correctly for personnel who are unavailable or locates personnel through the paging system.

3. Receives inquires and releases information in accordance with established policies and procedures.

4. Greets and gives directions/information to visitors, guests, residents, sales representative, etc. Ensure that existing rules are followed.

OTHER DUTIES:

1. Assists with administrative duties which include typing general business correspondence and various departmental and facility forms, reports, and duties as directed by the supervisor.

2. Updates weekly rosters, making necessary changes (admissions, discharges, beholds, etc.) collates, and distributes to appropriate department heads.

3. Distributes employee paychecks.

4. Receives newspapers, mail, and flowers for residents. Forwards items as necessary.

5. Keeps work area neat and clean and follows established safety procedures when operating office equipment.

6. Reports immediately suspicious persons and unsafe/hazardous conditions to the supervisor.

7. Creates and maintains an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.

8. Assists with related administrative duties as may be deemed necessary by the Administrator.

EXPECTATIONS:

1. Presents a neat appearance with a pleasant speaking voice and personality. Must be punctual.

2. Works with a minimum of supervision.

3. Discusses any problems, needs, or concerns that arise with the Administrator.

4. Attends in-service educational classes and on-the-job training programs as directed.

5. Creates and maintains an atmosphere of warmth, personal interest, and a positive image throughout the facility.

6. Treats people with respect; works with integrity and ethics; upholds organizational values and mission statement; supports affirmative action and respects diversity.

7. Understands and upholds Residents’ Bill of Rights and holds all resident information confidential.
