Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments. You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community. We are looking for an extremely organized, highly motivated and hardworking Real Estate Assistant to join their team! The Real Estate Assistant assists the Realtors with every aspect of the business, including administrative duties, preparing for open houses and maintaining inventory for the company. The successful candidate must have experience in the real estate industry and be willing to learn on the job.

Responsibilities:

  • Prepare preliminary documents for the transfer of property.
  • Organize documents to be included in property transfers.
  • Prepare and sort the documents required for property transfers.
  • Communicate with the customer and act as a liaison between the customer and the real estate agent.
  • Organize the flow of data throughout the company.
  • Learn how to navigate filing systems.
  • Perform clerical tasks that aid the real estate agent.
  • Facilitate communication between other agents, brokers, and clients.

1.Coordinate with vendors as well as clients for repairs, updates, follow-ups, scheduled appointments. Once repair appointments are scheduled, please add to calendar (color code orange) for tasks leading to money-making activities, and send a confirmation text to Sharon Barnes, and our seller client. You do not coordinate repairs with vendors when we are representing the buyer unless otherwise instructed.

2. On listings- Follow up with buyer agents that showed our seller client’s house (our listing) and ask for feedback within 1 day of showing, and ask if there are any questions that Sharon may be able to answer.

3. Add/ remove “For Sale” sign, lockbox, change the Sign topper.

Just listed will be the default when the sign is installed.

Under Contract will take place the same day as contract or if after hours, the next morning.

Open House - Should we have a scheduled open house, this will go 2-3 days prior to the open house.

SOLD- This will go the day prior closing around 1pm and will be picked up within 24 hrs after closing has taken place.

4. On Wise Agent CRM, please update contacts as you get notes, follow ups, add contracts and any signed document, any conflicts, any questions the client may have for me that you are unable to answer, etc.

5. Once every two months on Thursday and Friday (divide the load in two days), please follow up with Past clients (search on CRM) for past clients and text them on my behalf and ask how things are going. Do they need anything? Need Any recommendations? Also, add, please don’t forget to recommend Sharon to your friends and anyone coming to or leaving the CSRA.

6. Go to Google and Facebook business page ONCE A WEEK “most recent” and edit the review on Canva and share on social media. Also, if there are any un-replied reviews on Social media, please reply on my behalf.

7. Follow up with any OUTBOUND or INBOUND referral agent (Once a week status update) Outbound referrals - Referrals I sent out to another agent Inbound Referral - I received from another agent
8. Create CANVA Post for all UNDER CONTRACT & CLOSED transactions.
**Make a remark whether listing or buyer. *Create a Canva “Seller Under Contract” or a“Just Listed” with the word “listed” struck out and replace with Under Contract (see what’s best)

9. Create ads and promotional materials All ads must be approved by the licensee only.

10. Data entry for MLS listings and any other administrative tasks.

11. Compensation: Pay ranges from $28,000 - $38,000 Annually based on the level of experience, degree, license, or certs.

Quarterly performance bonuses for excelling and going above and beyond.

12. Attitude: Ability to work under pressure and remain calm, cool, & collected when working with clients, vendors, colleagues, and team members.Upholds a positive attitude and team player

13. Familiarity with the following strongly preferred but not required: Dot Loop, FMLS, GAMLS, Flex MLS, Canva, Google Meet, Gmail, Google Calendar, Google Drive, Microsoft Word, Excel, PowerPoint, Google Docs, CRM.

14. Learning-based with the ability to learn new programs quickly with minimal guidance.

15. Administrative duties to include running errands, copying, scanning,

answering the phone, making calls, texts, follow-ups, prospecting, filing, and

sending/receiving/responding to all email correspondence.Preparing and distributing all marketing materials, routinely attending team meetings, training, and admin masterminds within our office.

16. Language: Spanish and English proficiency is a plus but not required.

17. Preferential Status: Veteran and or military spouse preferred.

18. Database: Implement and manage database systems - Example: creating an organized birthday calendar and making sure birthday cards are sent out on time

19. Location: living “in-town”, for reasonable commute to meetings and errands.

20. Experience: 1-2 year minimum experience is required. Active Georgia Real Estate License is preferred but not required.

21. Full-time use of a reliable vehicle with insurance, laptop, and cell phone.

22. Ability to troubleshoot common issues and be solution-based, Desire to grow personally and professionally. High-level ability to follow up with leads, return calls, make calls, and verbally communicate with clients, agents, and prospects.

Job Type: Contract

Pay: $28,000.00 - $38,000.00 per year
