General Purpose of Job:
The Project Coordinator provides high-level support to the Director of Development Services. The four main areas of responsibility include (1) monitoring gifts to ensure we comply with mutually agreed upon gift agreement, grant agreements, and hospital policies (2) coordinating with fund managers and account managers to expended restricted gifts in a timely manner and effective manner; (3) tracking and reconciling gifts and gift expenditures and (4) creating a Monitoring Program to have the most accurate, concise and up-to-date information on gifts for donor reporting.
Duties:
The Project Coordinator will perform administrative support for coordinating and tracking gifts. Using Raiser’s Edge will help ensure proper maintenance and documentation of gift records.
The Project Coordinator will facilitate account reconciliation, support account managers with departmental purchases, vouchers, and release of funds when necessary.
The Project Manager will manage the restricted funds for the purpose of continually reviewing, updating, and optimizing the use of gifts in compliance with donor gift agreements or grant agreements.
The Project Coordinator will work with fund managers/account managers to identify the most efficient ways to expend donor gifts as prescribed by donor agreement.
The Project Coordinator will ensure complete, accurate and timely use of gifts and report discrepancies to the Director of Development Services.
The Project Coordinator will provide reports to the Director of Development Services regarding the status of restricted funds and gifts.
The Project Coordinator will ensure that all gifts are managed and expended across the organization as mutually agreed upon by donor and the hospital.
The Project Coordinator will assist with other back-office duties as assigned.
Essential Duties and Responsibilities:
- Maintains utmost level of confidentiality at all times.
- Adheres to hospital policies and procedures.
- Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
- Leads a Monitoring Program that will be implemented system wide using the Hospitals accounting system and Raiser’s Edge.
- Provides over site and facilitation for planning, execution, scheduling, definition of project scope, cost/budget development and project tracking for gift resources and tasks.
- Works with Business Partners, Vendors, Business Owners, and restricted fund managers to define use of funds.
- Communicates with account managers across the organization when major gifts are received to support their respective departments, donor restrictions on endowment, program gifts including grants.
Education and/or Experience:

- Bachelor's degree (B. A.) from four-year college or university; or five years related experience and/or training; or equivalent combination of education and experience.
