Job Title: Project Assistant

Summary

Responsible for assessing, planning and executing project under the direct of the Project Manager. Performs complex and confidential administrative related functions to ensure operations flow efficiently. Create and document business processes and procedures to enhance operational performance, improve business practices and facilitate communication between HCI Corporate office and subsidiaries. Foster an environment of excellence, transparency, cooperation, and flexibility in team setting and individually.


Essential Functions

  • Interprets and implements company policies and develops operating procedures to facilitate office operations.
  • Assists in developing operational procedures, goals, strategies, and objectives. Leads the improvement of overall operational processes to ensure future competitive edge and success.
  • Prepares or directs the preparation of reports which summarize and forecast company business activity and financial performance in the areas of income, expense and earnings.
  • Suggests and implements methods to improve fiscal operations, processes, efficiency, and service to both internal and external customers. Facilitate the maximization of both human and automated resources to achieve productivity and profitability.
  • Analyzes operational performance metrics to create relevant operations dashboards that drive performance.
  • Prepares necessary letters, presentations and applications at Leadership direction based on business needs.
  • Research business trends, best practices and industry standards. Offers recommendations for improved business processes based on findings.
  • Must work effectively and cross functionally with a variety of companies and staff to take the lead on planning, implementing and monitoring a variety of projects.
  • Handles multiple projects and deadlines simultaneously.
  • Oversees Health and Safety inventory, correspondence and is responsible for ensuring employee awareness of current health and safety needs.
  • Serves as a project resource to assist subsidiaries.
  • Ensures strict confidentiality of all records.
  • Other job-related duties as assigned by immediate supervisor.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Capable of lifting 25 lbs.


Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.


Travel

Minimal travel required for this position. Occasional overnight travel may be necessary,


Experience

  • Must be able to manage and organize multiple projects for various departments.
  • Read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
  • Ability to write reports, business correspondence, and procedure manuals
  • Understand federal government regulations (both current and expected changes) relevant to all company services
  • Ability to present information to internal/external customers
  • Ability to process computer data and to format and generate reports.
  • Proficient in Microsoft Word, Excel, Visio, Outlook, PowerPoint and Project
Education

Bachelor’s degree (B.A.) in Business Management is preferred. Three to five year’s related experience required; must also have professional experience in a business environment.


Additional Eligibility Qualifications

Maintains a valid Driver’s License and be insurable under company insurance provider/program
