Purpose:
Be part of a growing operation supporting multiple sectors, in a great location in DTC area. This is an opportunity to get involved in a diversified role, providing admin support to a project(s), whilst performing the role as office manager and part time reception duties
Project Administration
Provides complex administrative support to a project or multiple projects. Typically, will support senior managers or executives, with work involving frequent visibility to high level internal and external customers.
Facility Assistance
Provides Facilities support to a large group or large office(s) (square footage) within the organization.
Reception
Provides intermediate level support performing semi-routine work activities with minimal instruction.
Responsibilities:
Project Administration
- Provide seasoned level support to management and executives performing on complex and varied work assignments that are more specialized, requiring a deep understanding of their specific area of expertise.
- Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets, and other presentation materials.
- Responds to or routes non-routine or confidential inquiries from external or internal sources with correspondence or other messaging.
- Provides administrative and logistical support including meeting arrangement, progress tracking, and documentation on large, complex projects.
- Schedules and coordinates meetings, travel, and other group activities. Has advanced word processing, spreadsheet, and graphics software skills.
- May be required to perform involved mathematical calculations.
- May have specific process or program coordination responsibilities assigned as part of the regular work routine.
- Routinely makes decisions that involve independent judgment to determine a course of action which is consistent with established functional policies and goals covered only by general procedures.
- Under limited supervision, plans and conducts and may supervise work of self and others.
- May participate in cross-functional collaboration.
- Has no direct or indirect reports but may take a lead role in project type assignments.
- Strong ability to Inform and persuade on complex matters through preparation and delivery of proposals, presentations, and reports, as well as collaboration with stakeholders and management.
Facility Assistance
- Works well with Landlord, Property Management team to ensure that any/all support services provided by Landlord are followed through as scheduled/required.
- Perform moderately complex and varied work assignments that may be specialized
- Works with US West Facilities Manager and Sustainability Team to ensure the office is meeting all the requirements of making the office as sustainable as possible.
- Take the lead to monitor, and maintain internal office security systems, access badges, update floor plans to reflect moves, relocations, any office reconfigurations, etc.
- Take the lead in coordinating and scheduling any internal office moves, etc.
- Manage internal office services (i.e. kitchen/coffee services, ordering of any office supplies, etc.), as well as internal plant services, offsite records storage, shredding services, janitorial, PPE purchases, First Aid Kits, AED maintenance, etc.
- Work with US West Facilities Manager to prepare annual requisitions for office related services. Work with US West Regional HSE Manager to ensure all safety related issues in the office are addressed and corrected as needed.
- Participates in monthly Office Safety Walk-Thru with HSE representative, Office Management, etc.
- Respond to routine inquiries from external or internal sources with standard correspondence or other messaging.
- Schedules and coordinates facilities and or warehouse activities, including the coordination of building systems maintenance (IT Server Rooms, IDF Closets, etc.).
- Possesses a moderate to strong understanding of general aspects of the position/job.
- May be required to perform involved mathematical calculations.
- May have specific process or program coordination responsibilities assigned as part of the regular work routine.
- Exercises judgment in selecting work methods and knowledge of which project specific procedures to be followed.
- Capable of detecting errors during and upon completion of assignments. Self-check of quality / accuracy of own work.
- Working under minimal supervision, able to plan own work and accomplish varied and complex tasks with the ability to discover issues and recommend solutions.
- Proficiently communicate ideas and concepts, persuading and influencing through participation in the preparation and delivery of proposals, presentations, and reports.
Reception
- Greets visitors and maintains visitor logs.
- Ensures that all visitors to the office have viewed the Office Safety Video before going into the office.
- Answers and correctly routes calls if and where needed.
- Responds to internal and external inquiries and distributes accurate information.
- May perform some administrative activities such as booking meeting rooms, being proficient in current Hot Desk system “Hybrid Hero”, arranging transportation, receiving and sending mail and packages.
- May help to complete security procedures such as issuing badges or visitor passes. Work with US West Facilities Manager to maintain and update as needed the Office Playbook.
- May require proficient use of data entry/retrieval and calculating and may also involve the use of complicated decimals/fractions and mathematical formulas.
- Decisions follow established routines and standing instructions, which may vary significantly, representing somewhat diversified procedures and precedents.
- Ability to consider the most appropriate procedure or precedent to follow and make discriminating choices among learned things.
- Recognizes problems and is able to recommend solutions from a set of limited options based on prior experience with similar situations.
- Proficiently communicate ideas and concepts, developing the ability to persuade and influence others as needed.
Pay Rate: $26.64 - $36.04 per hour commensurate with experience
