Responsibilities

The Programs Coordinator performs a variety of administrative and FFE management functions for the Mid-Wilshire Neuropsychiatric Campus Renovation projects under the direction of the Administrative/Financial Manager and Mid-Wilshire Project Managers within Real Estate | Planning, Design, and Construction. Administrative duties include, but are not limited to: the management of project metrics, maintenance of project calendars, coordination and scheduling of meetings, preparation and distribution of meeting minutes, and coordination of on-site personnel. You will also provide project FFE support with an emphasis on FFE management, move planning, logistics, and review of proposals/contracts.

  • This is a 2-year, full-time contract position that may convert to career.

Pay Range: $29.12 - $64.27 Hourly

Salary range: $29.12-$64.27 Hourly

Qualifications

All Required:

Bachelor’s Degree and demonstrated three years professional experience in administrative role.

Experience with design and construction projects preferred.

Skill in establishing priorities to complete work in a timely manner despite changes in workload or assignment, pressure of deadlines, or competing requirements.

Ability to perform job duties despite frequent interruptions or distractions.

Ability to establish and maintain cooperative working relationships with co-workers and department personnel.

Writing and editing skills to prepare grammatically correct business correspondence, agendas, and reports with speed and accuracy and knowledge of standard business letter and table formatting to prepare such materials.

Skills in working independently and ability to prioritize, follow through, and complete multiple assignments with minimal direction while adhering to required timelines.

Working knowledge of University and Medical Center forms and ability to process forms required to accomplish various transactions (e.g., travel expense vouchers, check request, facility services request, telephone service request, purchase request, etc.).

Demonstrated intermediate level knowledge of MS Outlook, Word, Excel, PowerPoint, Project, Access, and Front page.

Working knowledge of EMPAC-Medical center purchasing systems, and Employee Data Base functions.

Ability to work with different software products with minimal training and supervision. Skill in analyzing data in order to be able to create spreadsheets graphs and charts that relay correct information for management report.

Flexibility and willingness to work overtime and on weekends if necessary.
