Duties

Major Duties and Responsibilities:

  • Provides clerical and administrative assistance to the Surgery and Anesthesia Service product line.
  • Works in conjunction with the ACOS, Surgery & Anesthesia, and Business Manager to organize and oversees Access of Care and other accountability mandates or initiatives.
  • Authorized to give out administrative and technical information to inquires upon determination of their right to receive it, responds to requests for information.
  • Secures for the Business Manager a variety of documents to include, regulations, specific statistical and narrative program data, or other matters of a technical nature.
  • Coordinates studies and special projects to implement health care delivery programs and improve the efficiency of health care operations.
  • Assists in preparing internal instructions, operating policies, protocols, and other procedural guidelines.
  • Assist in maintaining up-to-date guidelines.
  • Responsible for the monthly collection and posting of the Surgical Service call schedule.
  • Primary timekeeper for Surgery and Anesthesia Services, excluding the Operating Room.
  • Receives training and provides technical guidance to management and is recognized as a knowledgeable authority.
  • Reviews the credentialing process and ensure all requirements are met.
  • Supports functions of the departmental responsibility related to credentialing and privileging and the Medical Staff membership.
  • Copies and prepares training materials, reserves orientation rooms for all dates, and develops a calendar year orientation schedule monthly.
  • Assist in arrangements for trainees and instructors to obtain USA access badging requirements and appointment letters as needed.
  • This position is the department authority for collecting, tracking, and submitting travel arrangements in coordination with the internal travel officials.
  • Authorized user of the Government Purchase Card.
  • Develops methods for automating administrative reports, considering the interrelationship of reports and multiple uses of the data, e.g., portions of the data used for monthly reports on funds and obligations.
  • Drafts replies to general inquiries not requiring a technical knowledge of the program, i.e., training, travel, and staffing, quarterly planning, and budget reports.
  • Receives directives, messages, instructions via subject matter expert and promptly responds to imitator accordingly.
  • Collects, submits, and tracks requests, and maintains files or empirical data related to various HR related tasks and processes in support of the business-related tasks to the product line.
  • Serves as a backup scheduling coordinator in absence of primary employee.
  • Extracts and prints information from, and appropriately transcribes and performs entries to medical records properly and efficiently.
  • Performs other related duties as assigned by the ACOS Surgery & Anesthesia service and/or Business Manager.
  • All other duties assigned by management.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Work Schedule: Monday thru Friday, 8am - 4:30pm, subject to change based on needs of the facility.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: working with HR and performing HR functions such as workers compensation, and payroll, to include experience working with physicians and administrative duties to include experience with Microsoft office applications. Note: This experience must be supported by your resume to be creditable.

There is no educational substitution for the GS-06 level.
