Program Assistant III Job at GAP Solutions, Inc.
Provide administrative training support for our federal client.
Duties and Responsibilities:
- Maintain a close and highly responsive relationship with students, instructors, and supervisors to the day to day schedules, work fairly independently receiving a minimum of detailed supervision and guidance, in addition perform various clerical and secretarial duties requiring knowledge of the office routine and an understanding of the organization, programs, and procedures related to the work of the office
- Create and design room, instructor, and student schedules for classes offered by the division.
- Coordinate and schedule classroom space to achieve optimum usage and efficiency.
- Prepares class schedules for each course; updates schedules to reflect cancellations, rescheduling, addition, or modification of sessions or rooms; communicates scheduling requirements to Registrar and all other appropriate offices.
- Advise supervisor and subordinate offices on new schedule procedures and practices which are not always applicable to the changing situations.
- Anticipate and prepare materials needed by the supervisor on matters to be considered.
- Respond to routine requests; refer callers and visitors to appropriate staff.
- Under the direction of supervisor and in coordination with the School Knowledge Manager, administer the Division SharePoint site and the Division intranet site.
- Ability to work independently with little supervision.
- Ability to schedule rooms or events.
- Knowledge of planning and scheduling techniques.
- Ability to coordinate with other FSI schools, divisions and outside agencies.
- Ability to provide courteous and responsive customer service to students, instructors and supervisors.
- Maintain recurring internal reports, such as time and leave maintenance and other services.
Basic Qualifications:
- High School Diploma.
- Secret Clearance.
Minimum Qualifications:
- 3 years of experience in related field, preferred.
- Bachelor’s Degree, preferred.
- Superior organizational, oral, written, communication skills.
- Proficient user of Microsoft Excel, SharePoint, PowerPoint, Word, Outlook as well as the ability to manipulate information in existing databases using software such as Access.
- A familiarity with or ability to learn to use survey research software, and reference materials to collect information to be used for briefing books, briefings, orientations, conferences and meetings.
- Keen attention to detail is essential.
