Yakima Valley College is accepting applications for one Program Assistant in Disability Support Services (DSS), a department in the Student Services division. This is a 10-month, classified position with unpaid leave July 1 to August 31, plus a full state benefits package.
Reporting to the ASL and Disability Support Coordinator, the Program Assistant works under general supervision, performing work requiring knowledge and experience specific to the needs of students applying for disability support accommodations. The position provides students, faculty, staff and the public with information related to DSS policies and procedures; compose written communications; establishes and maintain records relating to program operations; and processes purchasing documents. Occasional evening hours may be required.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent, AND
- Two years of full-time clerical experience, OR
- Equivalent education/experience
PREFERRED QUALIFICATIONS:
- Experience making decisions in accordance within state or federal regulations and established policies
and procedures - Experience working in an academic environment
- Commitment and experience in providing students with diversity, equity, and inclusion
- Experience in assisting a supervisor with serving students or clients and with record-keeping
- Experience in assisting with the provision of disability support services
- Work experience using student management systems, like ctcLink (PeopleSoft)
- The importance of maintaining compliance with Section 504 of the Vocational Rehabilitation Act of 1973 and the Americans with Disabilities Act (ADA) in providing assisting with faculty and DSS students in in all areas of academic and disability needs
- Processing of purchase requests as directed
- Resources available for students, staff, faculty and the public regarding DSS policies and activities related to accommodation accessibility
- Professional standards for written communications and record retention
- Ability to provide quality service
- Ability to be flexible in a multi-tasking environment and manage multiple deadlines
- Accurately communicate in writing and verbally
- Ability to maintain a high level of confidentiality
- Ability to coordinate projects and ensure timely delivery
- Ability to accurately keep records and recognize errors
- Ability to learn and properly utilize electronic record-keeping and purchasing systems
ESSENTIAL TASKS:
- Serve as primary contact with program participants; provide information regarding program procedures, policies and activities; contact may be by e-mail, telephone or through web-based platforms such as YakConnect (EAB Navigate) and ctcLink (PeopleSoft)
- Proctor student exams: Receive confidential exams from instructors, assign eligible students to a location that aligns with their accommodation, monitor students taking exams and return completed exams to the instructor following confidential protocol. Some students may need the exam read to them, interpreters
with them or other approved accommodations; - Compose correspondence and printed materials related to program policies, procedures, and operations; edit materials for accuracy, appearance, readability, and style;
- Receive confidential documents from a variety of sources. Documents may be in the form of paper or electronic;
- Schedule program activities such as appointments, meetings, conferences, and banquets as directed by the
supervisor; - Establish and maintain paper and electronic records and files;
- Run reports for the supervisor using extracts/queries from web-based platforms, such as YakConnect (EAB Navigate) and ctcLink (PeopleSoft);
- Perform complex word processing tasks such as merging, sorting, integrating text with graphics, spreadsheet information or database files;
- Attend professional development opportunities as assigned by the supervisor; for example, trainings by Washington Association of Postsecondary Education and Disability (WAPED);
- May direct the work of student employees;
- Perform related duties as required.

Paid Leave and Other Incentives
