Job Summary

The Program Administrator oversees programming and activities for the Middle East Professional Learning Initiative (MEPLI). MEPLI comprises learning resources (webinars, courses, convenings, articles) and a year-long Fellowship program designed to foster collaborations with entities in the Middle East to build instructional and leadership capacity in a variety of formal and non-formal education settings.


MEPLI is situated within the Professional Education unit at the Harvard Graduate School of Education (HGSE), which is a fast-paced, customer service-oriented group serving more than eighteen thousand professionals in early childhood, K-12, and higher education around the world each year through a diverse portfolio of professional learning offerings.


The Program Administrator is responsible for administrative coordination of the MEPLI program, including both face-to-face and online formats. Under the guidance of the Associate Director, the PA is responsible for partnering with other team members to deliver exceptional customer service to program participants toward our ultimate goal of producing outstanding professional learning experiences. The PA serves as an ambassador of MEPLI and HGSE Professional Education.

Position Description

  • Oversees the planning and execution of program activities, using a production checklist and timeline, and adhering to programmatic deadlines. Schedules and facilitates necessary program-related meetings with faculty, staff, and both internal and external partners.

  • Works to anticipate participants' logistical needs and responds to participant inquiries by telephone, social media, and email.

  • Manages admissions process for the MEPLI Fellowship including design and distribution of marketing materials, tracking applications, following up with applicants, scheduling and conducting interviews, and participating in selection process.

  • Serves as primary point of contact for MEPLI Fellows and other educators participating in MEPLI activities while ensuring an outstanding service experience for their engagement in online and/or residential programs.

  • Maintains MEPLI website including updating content, providing recommendations for improvements, and updating Fellows’ profiles.

  • Oversees social media strategy and manages content creation & uploading to social media accounts and online platform; monitors accounts and engages users.

  • Supports relationship building with collaborating organizations in the Middle East.

  • Collaborates with Admissions, Finance, Marketing, and others in the HGSE and Harvard community to ensure efficient administrative processes.

  • Works collaboratively with the Associate Director to onboard, train, and support program interns while offering guidance as necessary and ensuring satisfactory completion of assigned tasks.

  • Manages MEPLI Convener network and knowledge sharing activities by MEPLI Fellows including, but not limited to, coordinating and scheduling webinars and in-person convenings.

  • Administers evaluation instruments and produces reports.

  • Assists with the development and coordinates the dissemination of program materials and other resources.

  • Coordinates and supports some special events and custom program offerings as needed.

    This is a one year term position with possibility for renewal


Basic Qualifications

  • Minimum 3 years working of related experience in a professional environment; program management, event or conference management experience in a professional setting required.

  • Advanced proficiency in Arabic (MSA and/or Levantine dialect).

  • Customer-service orientation and experience.

  • Must be able to work overtime hours in the mornings, evenings and on weekends as required for program delivery, predominantly during the summer. Due to our rigorous program schedule, we are generally not able to approve extended time off during our busy operational period from mid-June until August.

Additional Qualifications and Skills

  • BA/BS Preferred.

  • Strong written and verbal communication skills

  • Related program/project/event management experience

  • Experience using Microsoft Office.

  • Well-developed interpersonal, cross-cultural, customer service and organizational skills.

  • Demonstrated resourcefulness and the ability to manage multiple competing priorities in a fast-paced environment while maintaining a positive outlook.

  • Strong communication skills and the ability to develop and nourish working relationships with colleagues inside and outside of HGSE.

  • Proven ability to work independently and as part of a team.

  • Attention to detail and the ability to build websites and use survey tools; comfort with manipulating data on a spreadsheet and importing or uploading data from Excel.

  • Willingness and interest to contribute to organizational learning and a commitment to enthusiastically support the overall activity of the unit.

  • Familiarity with Harvard and/or the education sector preferred.

  • Ability to work in an open office environment.
