Overview
The Program Assistant supports the Programs team in refugee resettlement, case management and employment programing by performing critical data entry, record keeping functions, and support reporting. The position will be responsible for short- and long-term data tracking and file up-keeping. The objective of the program is to assist refugees, asylees, CHEs, humanitarian parolees and survivor of trafficking clients in accessing services, employment opportunities, and becoming economically self-sufficient.
Responsibilities
Administrative Support for Case Management:
- Assist with data entry and integration within case management database systems.
- Administers and documents Refugee Cash Assistance distribution.
- Coordinates, supports, and tracks in-house interpreters and drivers.
- Tracks client assistance payments and supports requests.
- Assists Senior Program and Contract Manager with quality assurance review of client records.
- Completes data entry and analysis for donor reports.
- Assists Senior Program and Contract Manager in completing program reports.
- Support Senior Program and Contract Manager developing SOP and training materials for programs.
- Support, document, and record program purchases for Community Services, Employment, ESOL teams online.
- Records and stores receipts for client expenditures including transportation expenses.
- Monitors client expenditures and ensures expense logs, funding trackers, and client documentation matches.
- Attend regularly scheduled meetings and periodic training sessions.
- Perform all other duties assigned by supervisor.
Operational Support:
- Maintains record storage and archival processes.
- Covers the front desk in the absence of the Office Manager/Operations Manager
- Receives donations and supervises donation room as required
Required Skills/Abilities
- Strong Excel skills required.
- Excellent organizational, verbal, written, and interpersonal skills.
- Self-motivated and effective communicator.
- Ability to prioritize duties in a fast-paced environment.
- Flexible and open to change
- Proficiency in additional languages strongly preferred, particularly Spanish, French, Ukrainian, Dari or Pashto.
- Candidate must have dedication to the human rights of refugees, immigrants, and asylees.
Education & Experience
- Bachelor’s or Associates Degree in Human Services, Counseling, or related field preferred.
- Minimum of 1 years of related experience in data entry and administration preferred.
- Minimum of 1 year of experience working with immigrant populations preferred.
Covid-19 Policy
IINE does not require applicants for most positions to show proof of Covid-19. Some federal contracts, however, require IINE staff to show proof of Covid-19 vaccination, and some immigration status adjustments, such as a Green Card, require proof of Covid-19 vaccination as well. Consequently, for some positions, IINE staff may be required to show proof of vaccination, and in others, IINE staff will be supporting clients who are required by law to have proof of vaccination in order to adjust their status in the United States.
