Position Summary:
The Product Coordinator – Extensions is responsible for handling extension responsibilities for the product department. Duties include maintaining accurate tracking of extension bookings, communicating with vendors, creating guest information documents, and effectively coordinating with internal teams to deliver an exceptional guest experience. The Product Coordinator – Extensions ensures that extension programs are seamlessly delivered for tours worldwide.
Primary Functions:
- Partner with Product and Tour Delivery teams to understand operational aspects of each extension program.
- Communicate with vendors to provide updates, counts, cancellations, guest information and service delivery expectations on an ongoing basis.
- Create and maintain an accurate tracking system to monitor sales and communication deadlines.
- Ensure that tickets are accurately purchased for guests on extension tours by working closely with the Product Coordinator – Tickets and local vendors/hosts as appropriate for each extension program.
- Create and maintain guest information sheets for extension programs that clearly outline how extensions operate and what guests should expect.
- Maintain an organized file of documents and communications that can be accessed by all company teams.
- Work with Tour Delivery teams and Collette systems to ensure that information is accurate and available to Tour Managers and local vendors in advance of tour. Clearly communicate any last minute changes in a timely manner.
- Work cross functionally with internal departments to ensure seamless on tour delivery of services on extension programs.
- Demonstrate a positive attitude and effectively work with others to positively impact level of service.
- Successfully build professional relationships while optimizing the customer experience.
- Handle all other duties as assigned
Knowledge and Skills:
- Expertise in customer service, sales, operations, quality control procedures and reporting
- Detail oriented with an ability to organize, multi-task and prioritize
- Ability to communicate effectively, both written and orally
- Strong ability to collaborate and work effectively with internal and external stakeholders
- Experience with Microsoft Excel, Outlook, and Word
- Ability to work effectively with all members of the team
Job Type: Full-time
Pay: From $18.00 per hour
