ESSENTIAL JOB FUNCTIONS: *
- Provide support to operations managers in conducting chart audits of Patient Services Representative work. Share feedback on findings with COO and site leaders.
- Review encounters to ensure 100% accuracy of insurance information.
- Provide support to vaccine clinics and COVID-19 testing.
- Manage operational projects and the worklog within 48 hours of receipt of encounter.
- Monitor patient flow throughout the office and update electronic medical records.
- Communicate with practice staff and providers about patient status in a timely fashion and manage patient expectations.
- Perform various administrative duties to support the practice on an as-needed basis.
- Sort and deliver mail, faxes, medical records, and other correspondence; photocopy and fax documents and maintain an adequate supply of all patient forms and documents as needed.
- Perform patient check-in: verify insurance, including eligibility; verify and/or update patient demographic information at every visit; ensure appropriate patient paperwork and surveys are distributed; collect patient payment as indicated; and ensure office scheduling policies are maintained.
- Perform patient check-out: accurately calculate, collect, post, and reconcile all patient payments; provide patients with follow-up appointments as necessary; follow up on incomplete information with appropriate provider; follow up with written directives from clinicians and patients; and provide patient information.
- Answer telephone calls: screen calls, schedule follow up appointments, take messages, provide patients with pre-appointment information and/or education appropriate to the nature of the call, provide information to assist patients and clinical personnel.
- Be a Super User of NextGen: Act as a resource for staff seeking assistance on the program management side of NextGen. Share expertise in running reports, scheduling, inputting demographics and insurance information, and basic billing.
- May document and schedule x-rays, lab procedures and in-house referrals. Provide patient with proper documentation of date, time, and any necessary preparations for scheduled tests and referrals. Complete online Prior Authorizations for both medication and behavioral health.
- Serve as liaison between patients, pharmacies, community partners, and GPH to ensure timely, appropriate transfer of information and response to inquiries.
- Display cooperative behavior. Interact positively and effectively with others to promote a team environment.
- Provide interpreting support for patients where applicable.
- Perform other duties as assigned.
- EDUCATION, EXPERIENCE AND KNOWLEDGE QUALIFICATIONS:
- High school diploma or equivalent general education degree (GED) required.
- Associate degree or bachelor’s degree is preferred.
- Experience with NextGen preferred.
- Three to five years of experience in medical office or hospital setting preferred.
- Experience with health insurance plans, medical terminology, and health care regulations.
- Word processing and computer experience preferred.
- Bilingual/multilingual in French, Spanish, Arabic, Swahili, or other major languages a strong plus.
