Position Summary: *PACIFIC TIME ZONE HOURS*

The Speaker Bureau Program Manager is responsible for the day-to-day management and execution of logistics for pharmaceutical, device and biotech speaker bureau programs and ensuring programs are on-schedule and within budget. This position includes administrative duties, database management, phone support, and email communications with some travel required. Additionally, this role is responsible for developing positive working relationships and maintaining consistent communication with sales representatives, speakers, vendors throughout the process while working closely with internal speaker bureau team. They will adhere to client and industry regulatory guidelines and will manage all programs from inception to execution. This role will include working within established budgets and enforcing deadlines. A comfort level with technology is required.

Essential Duties and Responsibilities:

  • Serves as the liaison with Pharmaceutical Sales Representatives and Physician Speakers to coordinate small educational programs while maintaining a positive relationship with all stakeholders
  • Provide full-service program management services for both virtual and live speaker bureau programs
  • Coordinate all aspects of virtual meetings, including coordinating and conducting virtual meeting rehearsals, as needed, with faculty and reps and providing meeting links to faculty and attendees
  • Attend/oversee implementation of virtual meetings
  • Source and secure space at off-site venues and restaurants
  • Coordinate all meeting logistics including registration, speaker travel, meeting room set-up, audio/visual services, meal functions, venue contracts, on-site staff, and program closeout at conclusion of program
  • Act as liaison with sales representatives to confirm requested program specifics upon receipt of program request and to communicate program updates and to confirm/remind regarding planning process and program execution
  • Make menu selections while adhering to budget and compliance guidelines; sign and review BEO and finalize venue logistics with rep to ensure program needs have not changed; review and log venue receipts post-program
  • Keep detailed notes of the program planning process within the event planning system, including communication, correspondence, contracts etc.

Qualifications and Requirements:

  • Bachelor’s Degree preferred but not required
  • Must be extremely organized and possess superior attention to detail
  • Excellent written and verbal communication
  • Ability to multi-task, prioritize workload and meet deadlines
  • Excellent problem-solving skills
  • Display an in-depth knowledge of meeting planning and contract negotiation
  • Strong administrative and computer skills
  • Minimal travel will be required
  • Location in Arlington Heights, IL but will consider remote work from home

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
