GENERAL FUNCTION
As part of the HR Operations Team, the Administrator-Payroll employee performs a variety of duties to support the HR and Payroll functions for associates in North America. He/She also provides exceptional customer service and problem resolution while always maintaining a strict confidentiality of information at all times.
MAJOR DUTIES AND RESPONSIBILITIES
- Lead the execution and accuracy of weekly and bi-weekly disbursement of multi-state and multi-country (US & Canada) payroll, including garnishments, benefits and taxes to 40,000 employees consistent with federal and state wage and hour laws
- Frequently interacts with various departments internally (Benefits, Compensation, HRBP, Legal, Compliance, Store Operations, Accounting and IT) and with external vendors.
- Appropriately maintains and secures confidential records and inquiries.
- Assumes leadership position to instruct, guide and provide advice to payroll coordinators.
- Follows and maintains knowledge of all payroll and Human Resource policies and procedures including a comprehensive understanding of various PTO, Sick, and Holiday plans to ensure accuracy of accruals and payments.
- Adheres to applicable state, local and federal laws, rules, and regulations.
- Supports Manager and Associate self-service to ensure data integrity through ongoing audits.
- Ensures all new hires and terminations are processed in all systems.
- Leads the continuous review of employee payroll data information. Research and correct/adjust discoverable errors.
- Supports the brands by acting as the primary contact for escalated issues
- Resolves and corrects timecard errors in compliance with state regulations
- Researches errors and determines need for On Demand checks
- Addresses inquiries from internal employees, stakeholders, or regulatory agencies regarding payroll issues
- Sets up standard reports to run automatically for distribution, and creates Ad hoc reports as needed for legal, compliance, tax and other business partners
- Process, test and report Year-end W-2s, working with our IT personnel and with outside W-2 vendor to ensure timely file generation, printing and mailing of W-2s.
- Participates in system testing of upgrade products and conversion, developing testing environment and analysis of test data. Works with the HR and IT departments to ensure timely and accurate implementation.
BASIC QUALIFICATIONS
- Associates degree in Human Resources or equivalent combination of education and experience required
- 3+ years Payroll experience required
- Previous experience with reporting, data analysis or payroll
- Proficiency using Microsoft Excel, Word
- Requires leadership, initiative, analytic, investigative and attention to detail skills
- Trustworthiness with confidential information
- Positive attitude and a team player
- Multi-state payroll processing experience
- Must be comfortable with engaging in a variety of different communicative modes (verbal and written) and being attuned to others through strong active listening skills.
- Strong attention to detail, critical thinking and analysis skills.
- Excellent teamwork, verbal and written communication skills are essential.
- Ability to work effectively with all levels of management, staff, customers, and vendors
PREFERRED QUALIFICATIONS
- Bachelor’s degree or equivalent experience
- CPP
- 5+ years Payroll experience preferred, ideally utilizing ADP’s GlobalView system.
