- Process payroll from data entry to reporting; including initiating, maintaining, verifying, and reconciling all payroll records.
- Maintain payroll documentation.
- Process leave accruals and deductions.
- Maintain a high degree of confidentiality regarding all pay-related data.
- Perform a wide variety of record-keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording payroll deductions and direct deposit authorizations
- Balance and control earnings and deduction totals, calculate and prepare general ledger entries, inspect automated system output such as registers and standard reports, determine and correct out-of-balance conditions, prepare and file tax reports.
- Assist with the preparation of quarterly 941 tax returns and issue annual W-2s.
- Assist as needed with employee earnings reporting to SURS and other external agencies.
- Assist with the development and implantation of operational policies, practices, and procedures. Assist with the creation and updating of the procedure manual.
- Research laws and regulations pertaining to payroll withholding and tax and communicate changes to appropriate personnel.
- Assist the Human Resources department in new hire orientation when requested as backup.
- Obtain a working knowledge of the Colleague system as it relates to file structure, processes, and relationships between Payroll, HR, IT, and the Student System.
- Assist in testing and implementing new Colleague modules.
- Assist in the development and implementation of operational policies, practices, and processes that comply with legal requirements, labor contract provisions, and College policies as they pertain to payroll.
- Participate in ongoing review of College practices; ensuring adherence to the College policies, mission and goal statements, labor contracts, and state and federal laws and regulations.
- Provide clear and accurate payroll information to customers and assist internal and external contacts in resolving specific payroll issues.
- Maintain current knowledge of payroll policies, and federal and state regulations.
- Prepare general ledger.
- Review and audit timekeeping records for compliance with established standards, maintain time and attendance records, post changes in pay and tax status, and miscellaneous changes.
- Count, balance, and distribute payroll checks.
- Attend appropriate seminars and workshops.
- Serve on appropriate College committees.
- Remain current in technology advancements utilizing Colleague software and 3rd party vendors, Entrinsik Informer, and Perceptive Content (Image Now).
- Regular attendance is expected.
- Use tact and courtesy to establish and maintain professional working relationships.
- High School Diploma/GED required. Associate Degree preferred.
- Two years of payroll or accounting experience is preferred.
- Must be technically proficient.
- Must be a proactive problem solver, capable of identifying, analyzing, and resolving issues and inefficiencies.
- Must be an efficient manager of resources, capable of problem-solving, decision-making, and using planning tools.
- Must be able to effectively communicate with team members, seniors, and other key personnel.
- Must have a working knowledge of Microsoft Office Suite.
- Must be able to manage multiple tasks and meet crucial deadlines with accurate results.
- Must be detail oriented and possess a strong work ethic.
- Must have the ability to research, interpret, and apply various payroll regulations to assigned tasks.
