Shift: Mon - Fri, 8:00 AM - 5:00 PM | Pay Range: $20 - 24/Hour

Position Summary
We are looking for a Payroll and Accounts Receivable Administrator with a customer-focused team player attitude. The ideal candidate must possess a strong work ethic, be organized, detail-oriented and communicate well with others. This is an important corporate position that works simultaneously with Accounting and Human Resources to ensure employee and customer data is processed efficiently and accurately. This role represents our corporate office and regularly interacts with 18+ branches across the Midwest and on-site manufacturing company. The position consists of completing the following main functions: processing accounts receivable, processing payroll, overseeing electronic timekeeping, assisting with benefit administration, and assisting with event coordination, as needed.

Job Responsibilities
Payroll

  • Process payroll for three companies (total of 250+ employees) on a bi-weekly basis, which includes importing electronic timecard data, entering manual data, and reviewing all payroll for accuracy.
  • Create manual paychecks, when needed.
  • Prepare bi-weekly commission reports.
  • Approve timecard exceptions for all employees.
  • Respond to all manager/employee payroll and work schedule inquiries; resolve concerns.
  • Approve employee profile changes, such as pay rates, direct deposit information, etc.
  • Maintain accurate records of payroll documentation and transactions/financial reports for accounting and auditing purposes.
  • Ensure new hires are added to 401K plan, approve 401K loan requests
  • Reconcile bi-weekly 401K file and maintain files necessary for annual 401K audit.

Accounts Receivable

  • Run a total of all checks received and scan received checks to the bank for deposit (daily).
  • Print a daily report of electronic deposits and include with the check deposit in Great Plains along with credit card transactions.
  • Create a daily list that includes all checks, electronic deposits and credit cards and a daily listing of all electronic deposits by the month.
  • Apply all cash receipts into our accounting system, Great Plains.
  • Balance and post deposits in a timely manner and submit the reports to others.
  • Create invoices and post them for non-customer deposits.
  • Reconcile cash on a weekly and monthly basis.
  • Reconcile and resolve any payment-related issues, which includes daily interaction with our branches and customers.

Benefit and HR Administration

  • Process benefit enrollments and run background checks for new hires.
  • Ensure employee files remain up-to-date.
  • Respond to employee verifications of employment (VOE).
  • Review and address any unemployment inquiries.
  • Process any court-related items, such as child support withholding, garnishments, etc.
  • Assist with regular monthly/quarterly labor reporting as well as annual ACA reporting.
  • Reconcile medical benefit bills monthly.
  • Process weekly health insurance claims reports.

Minimum Required Qualifications

  • High school diploma/GED
  • Excellent communication and interpersonal skills
  • Excellent problem-solving capabilities.
  • Ability to learn new software systems and processes quickly.
  • Strong work ethic and integrity
  • Detail-oriented and process-focused
  • Strong organizational and time management skills
  • Experience working in payroll and/or accounts receivable or a similar role
  • Working knowledge of basic accounts receivable and payroll practices
  • Ability to manually calculate payroll items, if needed
  • Experience working with accounting and payroll software
  • Experience working with Microsoft Office software (Excel, Word, Outlook, Teams)

Preferred Qualifications

  • Associate degree or certification in accounting, business, HR or related field preferred.
  • Experience with Great Plains or other ERP software preferred.
  • Experience with payroll and timekeeping software preferred.
  • Intermediate to advanced Microsoft Excel experience preferred.
