Job Summary: Reporting to the Assistant Controller, the Payroll Accountant manages payroll processing for a 300+ employee non-profit organization and provides support for other accounting duties such as general ledger / allocations / and accounts payable processing. Processing bi-weekly payroll duties include calculations of wages, vacation/sick accruals, insurance and benefits calculations, taxes and other items related for employees. The Payroll Accountant will also work with accounting staff to facilitate allocations of staff’s time to projects, intercompany transfers, and full-cycle accounts payable.

Status: Full-time, Nonexempt, Regular

Location: Chinatown neighborhood, San Francisco

Hours: Monday through Friday, 9:00a.m. - 5:30p.m.

Salary: $75,834 - $79,825 annually; Comprehensive benefits

Job Responsibilities

Payroll:

  • Review time sheets. Contact appropriate supervisor regarding questions or errors. Remind employees to complete timesheets
  • Process personnel action forms, new hires, terminations and garnishments
  • Review all changes to salary, voluntary deductions and mandatory deductions
  • Process changes and time sheets through Paylocity Payroll System
  • Transmit payroll information
  • Prepare check requests for garnishment payments
  • Prepare payroll journal entries
  • Answer questions from staff regarding payroll, tax status, voluntary deductions, vacation and sick leave accrual, etc.
  • Maintain payroll files and proper general ledger allocations
  • Assist Human Resources personnel as required with data regarding payroll of staff members
  • Coordinate all year-end audit and tax returns filing
  • Maintain Section 125 accounts
  • Maintain payroll procedures manual for the Paylocity System
  • Prepare 403(b) contribution statement monthly
  • Handle billing for workers comp insurance

Accounting duties:

  • Full Cycle Accounts Payable Processing – from entering invoices to payment and reporting
  • Inter-company related journal entries and reconciliation
  • Maintain and input allocations in G/L accounts based on Entities, Prog, Development, and other codings
  • Produce labor statistics and reports for grant applications

Minimum Qualifications

  • Two (2) years college level accounting courses or two (2) years general accounting experience in payroll and general ledger
  • Two (2) years of experience using Paylocity Payroll (or similar system e.g. ADP)
  • Computer experience in accounting systems, Excel and working within a cloud database environment
  • Knowledge of basic labor practices and regulations

Preferred Qualifications

  • Experience in using MIP software
  • Experience working for a nonprofit
  • Certified payroll certificate or courses in ADP or similar systems
