TITLE: Patient Service Representative/Medical Assistant, COCC Trainee
DEPARTMENT SUMMARY: The Patient Service Representative/Medical Assistant, Trainee position is assimilated throughout St. Charles Medical Group and health system encompassing practices in three Central Oregon counties and numerous specialties including family care, internal medicine, obstetrics and gynecology, pediatrics, immediate/urgent care, cardiology, pulmonology, rheumatology, general surgery, cancer care, behavioral health, and sleep medicine. Our PSR’s/MA’s collaborate with clinical and non-clinical staff to assure we are providing our community with comprehensive and compassionate health care.
POSITION OVERVIEW: Under the direct supervision of a Patient Services Supervisor, and in partnership with COCC, the Patient Service Representative/Medical Assistant, Trainee is responsible for working the following schedule: 0.25 FTE of clinical Medical Assistant education time (class, studying, labs etc.), and 0.75 FTE regular working time in their assigned Patient Service Representative position facilitating clerical and reception responsibilities and assisting in administrative tasks. They will use clinical knowledge to gather information from which designated staff can make appropriate patient health assessments and to anticipate provider’s needs as they relate to the patients’ medical care. This position does not manage any other caregivers.
ESSENTIAL FUNCTIONS AND DUTIES:
Performs the following Patient Service Representative duties:
Responsible for accurately recording patient demographics, insurance, and billing information at the time of registration.
Courteously and confidently requests appropriate types of payments (e.g. co-pays, deductible payments, etc.) from patients/guardians, processes payments, completes daily deposits and batch reports.
Responsible for processing telephone calls accurately in accordance with established protocols.
Assists with processing of authorizations and / or referrals as necessary with medical staff as required by insurance companies.
Performs real time eligibility for insurance benefits.
Maintains all department specific files, programs and recall systems.
Responsible for accurately scheduling patient appointments.
Reconciles daily schedules with appointment reports.
Responsible for supporting the basic functions of medical records (including: locating and distributing patient documents and information to appropriate staff members, faxing, scanning, indexing, opening, and distributing mail, etc.).
Under the supervision of the clinical supervisor, the Medical Assistant, Trainee performs the following duties:
Remains actively enrolled in the COCC Medical Assistant program.
Attends class and/or labs during this time.
Maintains good standing through the duration of the program.
Communicates any challenges immediately to their clinical supervisor.
Escorts patients to exam rooms and prepares for provider assessment.
Records and maintains patients medical data in patient's medical chart.
Assists the provider with responding to messages from patients and/or other medical professionals and institutions.
Performs a variety of provider-requested ancillary and/or surgical patient procedures (this excludes the administration of IV medication).
Maintains equipment, instruments supply inventory levels.
Supports the vision, mission, and values of the organization in all respects.

May perform additional duties of similar complexity within the organization, as required or assigned.
EDUCATION:
Required: High school diploma or GED. Actively enrolled in the COCC medical assistant program from with the ability to test for certification within 12 months from graduating the program.

LICENSURE/CERTIFICATION/REGISTRATION:
Required: Must obtain appropriate certification from one of the following within 12 months of hire to ensure continued employment; The American Medical Technology Association (AMT), The National Center for Competency Testing (NCCT), The American Association of Medical Assistants (AAMA), The National Association for Health Professionals (NAHP) Certification, National Healthcareer Association (NHA).
AHA Basic Life Support for Healthcare Provider certification.
Valid Oregon driver's license and ability to meet St. Charles Health System driving requirements. Ability to travel to business functions/trainings/meetings and all St. Charles Health System worksites.

Required: N/A
Preferred: Basic knowledge of ICD-10, CM/CPT/HCPCS coding conventions and procedures. Working knowledge of medical practice management information systems. Basic knowledge of medical office documentation standards.
* Upcoming Patient Service Representative to Medical Assistant Trainee Cohort starts April, 2023. Informational Session and Interviews will be scheduled ASAP. Final candidates will receive offers from St. Charles Health System.
