JOB SUMMARY: This individual is responsible for welcoming patients to the practice, treating all patients in a professional and courteous manner, checking-in patients, reviewing patient charts to verify necessary information and signatures, and entering all patient demographic information into computer. This individual is also responsible for checking-out patients, collecting payments, explaining all charges to patients, and re-verifying all insurance and address information.

EDUCATION AND EXPERIENCE:

1. High school diploma or equivalent

2. Two years minimum experience in medical practice

ESSENTIAL SKILLS AND ABILITIES:

1. Excellent customer service and communication skills

2. Management of multiple tasks simultaneously

3. Motivation to succeed

4. Empathetic personality giving attention to patient’s needs and concerns

5. Working knowledge of Excel

6. Strong organization with attention to detail

7. Respectful treatment of patients and co-workers

RESPONSIBILITIES:

1. Patient Check-In:

a. Consistently monitors check-in kiosks, assisting patients as needed and greeting patients in a pleasant, professional and timely manner
b. Checks patients in, making sure to focus on the following:
i. Accurately enters all new/established patient demographic information into the computer
ii. Evaluates chart data to verify all information has been received, completed, and signatures obtained.
iii. Scans patient’s insurance card and photo ID
iv. Ensures that proper authorization or referral is collected from the patient
v. Assists patients in obtaining authorization or referrals that have not been received by the practice
vi. Place charts in bin for specific physician or technician in a timely manner
vii. Ensures patient satisfaction
viii. Assists other office personnel as needed

2. Patient Check-Out

a. Checks patients out, greeting everyone in a pleasant, professional, and timely manner

b. Evaluates patient insurance and fee tickets to verify all information has been entered correctly

c. Explains all fees and patient financial responsibility

d. Collects co-pays/refraction fees from patients

e. Accurately schedules return appointments for follow-up as needed

f. Schedules patients for transfer of care as needed

g. Provides back-up support on telephones as needed

h. Ensures patient satisfaction

i. Assists other office personnel as needed

3. Administrative

a. Works no-show appointments

b. Checks charts for next day appointments

c. Tracks patients in the reception and communicates with them as needed

d. Inspects reception room and other office areas for neatness as assigned

e. Assists other front office personnel as needed

f. Performs other duties as required
