Position Summary:
The Part time Student Affairs Coordinator shall provide assistance with lower-level student misconduct procedures and processes under the direction of the Director of Student Affairs; work collaboratively with various offices to ensure the institution’s Clery Act, pregnant student rights under Title IX, and other compliance requirements for institutions of higher education; provide procedural support for the Director, and assist with other services provided from the Dean of Students office.

Essential Job Duties and Responsibilities:
  • Initiate preliminary misconduct procedures by following the WCC Student Rights, Responsibilities, and Conduct code (SRRCC) including assisting the Director with investigations, arranging meetings, holding educational conferences with the student and their personal advisor, collecting statements from parties involved in a conduct case, resolving informal cases, and updating related databases under the direction of Director of Student Affairs.
  • Under the guidance of the Director, assist with fulfilling the College’s Clery Act compliance requirements. The Coordinator will assist with preparing the Annual Security Report (ASR). The Coordinator collaborates with the Director, WCC Public Safety, and other offices to collect and classify Clery reportable crime statistics.
  • Annually, assist the Director in creating, updating, arranging, and providing training materials for Clery Act Campus Security Authorities (CSA). Assists with maintaining the list and definitions of CSAs.
  • Provide services to a diverse student body, by hearing, investigating, and resolving student complaints that do not have a prescribed resolution procedure and that cross WCC divisional or departmental boundaries.
  • Assist in the enforcement of student services policies and procedures.
  • Participate on the team that evaluates and decides Refund Exceptions. The outcome is reflected on the student’s transcript and student account. Review and determine the validity of medical and other documents.
  • Receive, determine validity, and process third party requests for student records. (background checks, including subpoenas, search warrants, requests by Homeland Security, FBI, local police, all branches of the military, local courts, and local prisons, etc.)
  • Prepare documents, coordinate communications, the collection of medical documents, review and determine the validity of documents, and provide information to students (pregnant students, Refund Exception appeals, etc.) using required information technology. Handle in accordance with FERPA, HIPPA, and College policy.
  • Serve as a resource to students, members of the College community, and the general public with accurate information regarding processes housed within the Dean of Students office (Student Conduct, Title IX, Complaints, Refund Exceptions, Pregnant Student Rights, 3rd Party Requests for student records, etc); and assist with customer service needs for the office.
  • Scan and electronically file documents into one of the following: Banner, Extender, Maxient, or other electronic file cabinets used by the Dean of Students office.
  • Assist with the College’s intake procedure for registered sex offenders.
  • Assist with ensuring the information posted on the College’s website is updated as it relates to the Code of Conduct, Title IX, Clery Act, Refund Exceptions, and other services provided by the Dean of Students office.
  • Regular attendance on campus is required for this position.
  • Other duties as assigned.

Related Duties:
  • Assist with the development and updating of sanction-mandated training for students in order to provide a learning outcome to certain violations of the SRRCC.
  • Manage special projects and special events as directed by the Director of Student Affairs.

Hours/Schedule:
This position will work 20-25 per week. Flexible schedule as needed to accommodate day, evening, weekend and distance/online students.

Minimum Qualifications:
Minimum Required Knowledge, Skills and Abilities:
  • Bachelor’s degree in a relevant field or equivalent education and experience.
  • Equivalent of minimum of two (2) years of work experience.
  • Ability to interact calmly with a variety of individuals that are willing/unwilling to cooperate, may have experienced a traumatic situation, may have strong emotions, or may have other situations that impact their interactions.
  • Demonstrated successful case management, ability to prioritize concurrent tasks with multiple deadlines .
  • Ability to use technology: Online tools such as email, Outlook, on-line chat, Zoom, Microsoft Teams, etc.
  • Knowledgeable in managing spreadsheets and databases. Ellucian and Maxient software experience preferred.
  • Experience working with and supporting students with diverse experiences. Strong ability to communicate with students from diverse cultural, economic, educational, and ethnic backgrounds.
  • Ability to demonstrate sound judgment, respond to unusual circumstances and appropriately handle sensitive materials and matters while maintaining confidentiality.
  • Strong interpersonal and writing skills to collaborate effectively with various college departments, faculty, staff and the community
  • Ability to anticipate and prepare for conflicts and problems, and proactively resolve them.
  • Ability to work a flexible schedule as needed to accommodate day, evening, weekend and distance/online students.


Preferred Qualifications:
Additional Preferred Qualifications:
  • Experience in a college setting, with a preference at community college.
  • Knowledge of the Clery Act, Title IX, HEOA, VAWA, FERPA, DAAPP, DFSCA, and Campus SaVE
  • Previous experience with Clery Act and/or Title IX compliance preferred.
  • Experience with Maxient Conduct Manager.
